SUMMARY

Provides administrative support for higher-level executives; assumes administrative responsibility for projects that may be complex and/or involve bank-wide impact. May provide assistance with special projects. Requires initiative and judgment. Applies advanced skills for the position. Has varied and somewhat complex duties and tasks. Resolves most questions and problems and refers only the most complex issues to higher levels. Works under minimal supervision. This position will be responsible for coordinating volunteer activities for the Market.

ESSENTIAL DUTIES AND RESPONSIBILITIES (the essential duties of this position may include, but are not limited to, the following):

  • Front Desk Coverage - welcoming and directing customers.
  • Greets customers and clients to the department in person, over the phone and via e- communications; establishes a quality customer experience through a courteous attitude and professional appearance.
  • Clerical and organizational assistance of department correspondence, handling mail, scanning, and other administrative duties.
  • Support processes and assist in preparation of documents to support business activities.
  • Operate PC using one or more software programs to generate documents, coordinate meetings, conferences, presentations, travel arrangements, and perform other routine administrative work.
  • Organize and coordinate department functions as requested.
  • Design, organize and maintain central filing system for the department, including records management and retention tracking.
  • Order and maintain supplies; arrange for equipment maintenance.
  • Design, construct and edit PowerPoint presentations.
  • Process invoices for payment.
  • May provide backup teller and new account duties.
  • Perform other duties as assigned.

OTHER SKILL AND ABILITIES

Ability to communicate effectively. Ability to work well with co-workers. Ability to properly prioritize workload and remain adaptable under pressure. Computer skills essential. Computer experience with PowerPoint a must; Internet, Word and Excel required. Knowledge or experience with Access preferred. Ability to pay attention to detail required, especially in time-sensitive and pressure situations. EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED) required. Three to five years of administrative support experience preferred. Must have excellent interpersonal skills in order to interface in person and via telephone. Must have the ability to work independently and to prioritize projects/responsibilities. The position requires flexibility, as priorities change and as needs arise to assist other department and colleagues. Strong organizational skills and attention-to-detail are required.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to read procedure manuals. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to clients, and other employees of the organization. Ability to handle client inquiries, concerns and complaints in a polite and effective manner. Ability to effectively communicate with supervisor.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide. Ability to compute ratio, and percent and to draw and interpret graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to acquire knowledge of investments, securities and/or trust laws, procedures and policies and the ability to comply with such laws, procedures and policies.
