GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Pharmacy Operations Manager, is responsible for overseeing the provision of medications to area patients and leading pharmacists, pharmacy technician supervisors, pharmacy technicians, and pharmacy interns completing this work . This individual assumes primary responsibility and accountability for the provision of safe, effective and timely medication preparation and delivery in a consistent and reliable manner. This manager is responsible for daily operations, personnel management and quality oversight of the central or perioperative pharmacy and is accountable for appropriate financial and human resource utilization in these areas. The Pharmacy Operations Manager will actively monitor and, when appropriate, implement improvements in operational efficiency, quality control and financial performance. Briefly, this manager sets the standard for excellence for the department's perioperative pharmacy or central pharmacy distribution services, and designs pharmacy operations to support patient-centered care and clinical pharmacy programs collaboratively, safely and effectively.

The Pharmacy Operations Manager reports to the Director of Pharmacy Operations and works closely with other operations and clinical managers to advance pharmacy practice and patient care services throughout the institution. This manager will also work closely with the Pharmacy Information Systems team, providers, and nursing leadership to ensure pharmacy systems are optimized and properly maintained. This manager will also work with the Chief Pharmacy Officer and the pharmacy leadership team in the development of department goals. They will collaborate with other managers and colleagues throughout MGH to facilitate the accomplishment of local and organization goals.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Serves as a subject matter expert in pharmacy automation and distribution systems in their respective areas, including decentralized automated dispensing cabinets and centralized carousel technologies

Oversees and ensures compliant compounding practices performed in their area, as applicable, pursuant to USP 795, 797, and/or 800

Assures compliance with controlled substance regulations and manages medication use processes to prevent and monitor drug diversion

Collaborates with automation vendors and information services resources to optimize automated distribution systems to appropriately maintain and control medication inventory and enhance efficiency and effectiveness of the distribution system

Develops workflows that minimize waste and improve operational efficiency, reliability and safety

Oversees the management of emergency code carts and kits or perioperative trays throughout the hospital, perioperative, or ambulatory care areas

Actively monitors and evaluates systems for operational, quality and financial efficiency and routinely benchmarks internally and externally against local and national best practices

Directs the activities of staff who work within assigned areas, oversees staffing models and pharmacist and technician daily coverage of operational areas, provides supervision of staff, and ensures the accuracy of employee timecards and leave records

Oversees pharmacy staff development, new employee orientation, and ongoing training of pharmacy staff

Participates in the recruitment and retention of competent pharmacists, pharmacy technician supervisors, pharmacy technicians and pharmacy interns

Performs personnel performance evaluations and implements performance improvement and corrective action plans when necessary

Facilitates and supports staff, resident and student training experiences and competency assessments

Develops and enforces policies and procedures and ensures they are updated, understood and followed by staff in coordination with other members of the management team

Coordinates with members of the supply chain and finance teams on matters related to drug and supply use, inventory management and billing integrity

Maintains an emphasis on ongoing quality, safety and productivity initiatives

Actively manages human, capital, and operational resources to collaboratively support patient care services, medication safety systems, regulatory compliance initiatives, and quality assurance programs throughout the Department of Pharmacy

Maintains effective communication with their staff, other members of the administrative and leadership teams, colleagues throughout the MGH Department of Pharmacy, and other institutional departments

Consistently demonstrates professional attitude and skillfully negotiates conflict to promote collaboration

Acts as a positive role model for other staff members

Mentors pharmacists and technicians, elevating the standard of practice

Assumes other responsibilities in the management of the department as delegated by the Director of Pharmacy Operations and Chief Pharmacy Officer

SUPERVISORY RESPONSIBILITY:

Oversight of pharmacy staff, totaling between 15 to 80 FTE of professional and technical staff

FISCAL RESPONSIBILITY:

Actively manages human, capital, and operational resources for inpatient compounding areas and assists with annual budget process


Qualifications

Position requirements include:

Education:



  • Graduate of ACPE accredited college of pharmacy required
  • MS Pharmacy Administration, MBA, MHA or other advanced degree preferred


Training and Experience:



  • Completion of an ASHP-accredited PGY1 and PGY2 administrative residency program or experience (3-4 years) of institutional pharmacy practice required
  • Specialized administrative residency training and/or two years management experience in acute care pharmacy setting preferred


Licensure and Certifications:



  • Licensed or eligible for licensure to practice pharmacy in the Commonwealth of Massachusetts required


SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

Knowledge of Federal and State laws and regulations

Knowledge of USP <797>, <795>, <800> recommendations

Experience managing centralized and decentralized distribution systems

Entry-level training on pharmacy informatics systems

Experience using integrated EHR system (Epic, Cerner, etc.)

Understanding of universal precautions and infection control

Knowledge of contemporary hospital pharmacy systems

Effective interpersonal and communication skills

Attention to detail

Ability to work well on a team

Effective writing and editing skills

Decision making skills

Ability to deal with emergencies and stressful situations

Ability to motivate and lead others

WORKING CONDITIONS:

Must be able to lift to 20 lbs.

Must be able to stand or sit for extended periods of time
