Job Description

The School of Music, within the College of Arts & Science, seeks a Facilities and Operations Coordinator to join our team. The School of Music stands as a nationally acclaimed institution, renowned for cultivating high-performing students who seamlessly transition into outstanding careers as professional musicians, community enrichers through their performances, and dedicated music educators shaping the next generation of artists.

The Facilities and Operations Coordinator plays a crucial role as a key member of the School of Music's administrative team. This individual is responsible for the execution of music productions, overseeing scheduling, and managing building operations. The coordinator will work closely with faculty, staff, and students to ensure that facilities are open, accessible, and properly equipped for various music events and activities. The coordinator also maintains effective communication with university departments and community stakeholders, acting as a liaison to foster positive relationships. Additionally, they may assist in finding materials and supplies, coordinating maintenance tasks, and implementing safety protocols to create an optimal environment for music education and performance.

This position is crucial to ensuring that rehearsals, concerts, and other events are executed seamlessly, contributing to the overall success and reputation of the School of Music. By streamlining operations, optimizing resource utilization, and providing administrative support, the Facilities and Operations Coordinator will play a pivotal role in creating a professional environment conducive to a nationally accredited School of Music.

Key Responsibilities:

Building Coordination

  • Manage scheduling and building operations for Sinquefield Music Center and Fine Arts Building ensuring that facilities in both buildings are in optimal condition.
  • Manage space usage, billing, lease event booking and management.
  • Coordinate room key and swipe access requests.
  • Schedule and coordinate office move reconfigurations as well as activities of outside contractors and maintenance personnel.
  • Coordinate all facilities maintenance and custodial requests for faculty, staff, and students.
  • Coordinate School of Music vehicles.
  • Assist in budget planning and management related to building operations, activities, and maintenance.

Operations Coordination

  • Collaborate with academic areas, faculty, students, and external clients to understand their facility and production needs, develop concert programs and support faculty for concert event production including serving as primary contact with University of Missouri facilities and local venues.
  • Ensure all IT, audio/visual, and facilities work orders for rehearsals and concerts are submitted accurately and manage room reservations and logistics for ensemble-related activities.
  • Assist with summer residency and partnership activities, as assigned.
  • Oversee the system and process for space scheduling and reservations.
  • Support those who facilitate schedule changes.
  • Coordinate room bookings in EMS for Music activities.
  • Monitor unit furniture, space, and storage inventory.
  • Manage databases as they pertain to unit space and assets.
  • Manage and update all digital displays in associated buildings.

Daily Duties

  • Handle administrative matters regarding day-to-day operations and procedures of the School of Music. Examples may include:
    • Provide general office support such as greeting and directing visitors, answering incoming phone calls, and processing mail.
    • Prepare and deliver correspondence.
    • Ensure accuracy of School of Music website.
    • Serve as back-up to other administrative support staff in the Administrative Suite.
Shift

Will work occasional evenings and weekends as needed and may have occasional on-call hours.

Minimum Qualifications

Associate's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

Salary Range: $18.50 to $26.34 per hour

Grade: GGS - 008
