Your Role

Mission:

Power Technique North America LLC, within the Power Technique Service Division, is looking for a Service Administrator, to take responsibility for maintaining our Service Center's Parts and Service administration process and routines, providing improved communication, documentation, support and training.

Power Technique Service has ambitious growth targets for the next coming years and therefore we are looking for an ambitious candidate with a solid background Service Administration. A solid proficiency in SAP will be considered as an asset.

Roles and Responsibilities:

As Service Administrator, you will be reporting to the Service Center Manager and you will be responsible of all aspects of service administration in the Service Center, including answering inquiries, processing service orders, solving problems concerning the inventory for the service jobs, pricing, deliveries, backorder notification, warranty inquiries, credits, etc..

Main mission, responsibilities.
* Data entry into SAP, Excel, and/or other software systems as needed for various functions and reports.
* Update and maintain equipment in SAP.

* Assist technicians with time entry to MAM2.
* Monitor warranty orders to conclude in timely manner and update in WOL as info is requested.
* Schedule and conduct weekly WIP meetings for service center with service manager and other team members to ensure all open orders are closed as needed.
* Provide administrative support for the technical support team by opening work orders, entering their time to work orders, and closing jobs performed by them.
* Schedule shipment of parts as needed to other service centers.
* Complete necessary training as required.
* Code and submit invoices for payment to AP department and follow up on vendor payment requests.
* Assist manager with any requests for capital equipment additions/customer options.
* Approve invoices for payment through Esker, in accordance with the Company's Prokura.
* Collect credit card payments from cash sales customers.
* Maintain service work orders to conclude work orders in a timely and efficient manner.
* Filing - create new files for work orders, vendor invoices and other documents as needed.
* Understand and fulfil the requirements of company Policies not limited to Technical Warranty, Product Liability and Occupational Health, Safety and Environment.
* Check parts delivery status and create MyQuest tickets to expedite backordered parts from supplier.
* Maintain AC Competency Training program for dealers and stores. Work to understand and utilize information and communication systems and tools, i.e. e-mail, SAP, Microsoft Office software, etc.
* Work cooperatively with Customer Service, Technical Service and Field Service groups in a spirit of teamwork to address problem areas and stimulate aftermarket sales.


To succeed, you will need

Experience:

2-3 years in a Service administration or similar role.

Education:

High School diploma.

Skills:

* Software skills e.g. MS Office
* Attitude to work in a team is a must
* Proficiency in SAP will be considered as a strong plus

* Excellent command of English is a must both oral and written

Personality requirements:
* You are a proactive person
* You are able to work in a team
* You are structured and organized
* You are dynamic, result oriented and self-motivated person
* You have good communication skills
* You have the willingness to travel if needed for trainings and/or to other Service Centers
* You have clear in mind the "why" you are applying to this position

Supervisory Responsibilities:

This position has no supervisory responsibilities.

Travel:

Occasional travel may be required
