Job Summary

This position oversees cash and electronic fund transfers, ensuring timely processing and accurate reconciliation of payments. It involves collaboration with various departments and external services to manage financial transactions and address related inquiries.

  • Cash Management: Track and manage cash and electronic fund transfers, including processing bank files, statements, and remittance files.
  • Reconciliation: Investigate and resolve issues with EFT payments and returned deposit checks, analyzing data to identify and address errors.
  • Sundry Debtor Management: Handle payments, run aging reports, and manage unpaid invoices.
  • Journal Entries & Reporting: Prepare journal entries for fees and allocations, and generate financial reports and reconciliations.
  • Petty Cash: Oversee petty cash processes, including replenishments and verifications, and manage semi-annual audits.
  • Liaison Duties: Serve as a contact point for departments, Secure Safe, Loomis services, and banks, managing cash handler training and missing deposits.
  • System Management: Handle Blackline and ClientLine operations for financial reporting and adjustments.
  • Service Desk: Respond to Service Now tickets for financial inquiries and requests, including EFT verifications and unclaimed payments.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $66,800 - $102,000 (Annual Rate).

Department Description

The UCSF Controller's organization delivers full accounting services and related systems for faculty, staff and students, UCSF Foundation, all University departments, and any outside entities who have a business relationship with the University. Services provided include General Ledger, Capital and Cash Accounting, Payroll, Student Loan Billing and Collections, and Sponsored Research Accounting. The office uses sophisticated technology to account and report on the UCSF financial activity. The candidate should have a firm understanding of accounting systems in a large and complex environment. The Controller's Office's is to be a trusted advisor working in partnership with faculty, staff, and students to enhance financial stewardship of the campus and to uphold the public's trust in the institution and mission of UCSF.

The Accounts Receivable and Banking Services unit is a major unit of the Controller's office. The unit is responsible for cash and controls, managing bank account activity, Departmental AR, incoming payments, student stipends, refunds, tuition loans, billing, collections, and related compliance and internal controls for the UCSF campus. In addition, this unit participates in the development, implementation, and training of new systems or processes, and provides customer support to the UCSF community who utilize our services and systems, including PeopleSoft General Ledger and interpretation of UC policies, procedures, and acceptable accounting practices.

The Cash Accounting Team is responsible for the administration of all cash and credit card transactions at UCSF, Sundry Debtor Invoicing, aging monitoring, and processing Inter-Campus financial control transactions, reconciliation reporting, sales and use tax payments, and fiscal year-end closing activities. The department establishes campus standards, initiates policies, and provides guidance, education, and support to UCSF departments. The group provides reporting to the University of California, Office of the President (UCOP), and reporting to external agencies. In addition, this section participates in the development, implementation, and training for new systems, and provides customer support to the UCSF community who utilize our services and systems, including interpretation of UC policies, procedures, and acceptable accounting practices.

Required Qualifications


  • Bachelor's degree in a related area and / or equivalent experience/training.
  • 1+ years of relevant experience
  • Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Knowledge of PeopleSoft Finance, Microsoft Excel, and ability to navigate banking and financial services platforms.
  • Working knowledge of finance policies, practices, and systems.
  • Ability to gather reasonably retrievable information to organize, and perform basic financial analysis assignments.
  • Demonstrated ability to effectively present information verbally and in writing clearly and concisely.
  • Demonstrated ability to use spreadsheet and database software for moderately complex financial analysis, fiscal management, and financial reports.
  • Demonstrated interpersonal skills at all levels within the unit, excellent service orientation and critical thinking skills, and attention to detail. Demonstrated ability to use organizational skills to multi-task in a high-volume environment. Customer service approach to work and interactions with other departments.
  • Ability to adapt to changing priorities.
  • Ability to function as a member of a team.
  • This position is remote-based and requires one to work on-site four to six times a year (at the employee's expense) at our Mission Center office, located at 1855 Folsom Street, San Francisco.
