Job Description Job Description Job Title: Purchasing Administrator Reports To: AP Manager

Job Summary:

The Purchasing Admin is responsible for coordinating all activities associated with the procurement of materials and supplies for the company. The Purchasing Admin verifies, prepares and forwards purchase orders. The Purchasing Admin establishes and maintains positive business relationships with suppliers and internal and external customers.

Job Duties and Responsibilities:

Enters purchasing information into accounting system; ensure accurate GL codes, project numbers assigned and sales tax percentages. Verifies proper approvals (according to DOA), prepares order to vendor, submits order to vendor, and receives order confirmations from vendors. Validates that materials are taxable. Researches and resolves invoice/PO discrepancies, coordinates returns/credit memos and assists with processing vendor returns by adjusting POs as required. Self-manages assigned workload. Completes other responsibilities as assigned.
Physical and Mental Requirements:

Must be self-motivated, positive in approach, professional and help create, develop and implement project process improvement(s). Must promote the Company culture and mission to all employees, vendors, clients and business partners. Must possess proven problem solving and critical thinking skills and the ability to effectively read, write and give oral presentation(s). Must have some experience with customer interaction, such as liaison between the customer and the Company. Regular job attendance is mandatory. Must be able to speak/read/write English. Education, Certification, License, and Skill Requirements: High School diploma or GED equivalency. Organizational and time management skills are required; purchasing admin needs to manage several purchasing programs and be able to meet deadlines. Must have a minimum of three (3) years working experience in a purchasing department preferable with construction company and/or related field. Understand and have (2) years working experience with multi-state tax requirements on material purchases Must be proficient with Microsoft Office (Word & Excel). Must be able to manage multiple tasks/projects simultaneously. Ability to meet Company minimum driving standards preferred. Career Path: AP Specialist Min USD $24.00/Yr. Max USD $27.00/Yr.

Must have proven mid skill level to interpret project documents, including but not limited to, spreadsheets and billing documents. Regular and reliable job attendance required Education, Certification, License, and Skill Requirements: Must possess at least a High School diploma or GED equivalency. Must have some experience in customer interface, such as liaison between the customer and the Company. Technical and organizational skills are required; purchasing agents need to understand technical production information and manage several purchasing documents Must possess a minimum of three (3) years working experience in a purchasing department preferable with construction company and/or related field. Understand and have (2) years working experience with multi-state tax requirements on material purchases. Low voltage electrical/integration procurement preferred. Must be proficient with Microsoft Office (Word & Excel). Must be able to effectively operate office equipment and computing devices commonly used in the industry. Must meet Company minimum driving standards. Must be able to manage multiple tasks/projects simultaneously.
