Position Highlights The College of Medicine - Phoenix's Office of Student Affairs - Financial Aid is seeking a Financial Aid Support Coordinator. This position will support financial aid routine and special projects for students relating to financial wellness, scholarships, and specialty programs (i.e., dual degrees, accelerated MD and pathway programs). This position is also responsible for providing support services to College's Financial Aid Office including the Director, Financial Aid Services.

Duties & Responsibilities

Scholarships:

  • Assist with all institutional and external scholarship opportunities, focusing on recruitment and specialty scholarship application cycles (i.e., Recruitment and Primary Care Physicians Scholarship). Manage the scholarship application process, including promotion, application collection, and review.
  • Collaborate with scholarship committees, donors and the Development Office to ensure an accurate and efficient
    scholarship award process. Maintain records of scholarship recipients, match donor funds to student interests, enter awards and track disbursement.
  • Submit fund transfers and monitor account balances to re-offer funds as needed throughout the award year. Send scholarship award letters and contact students regarding requested donor stewardship opportunities.
  • Identify external scholarship opportunities and counsel students regarding the scholarship application process.
  • Ensure the funding of HRSA programs along with other military Health Professions Programs through applicable invoicing and payment requests.

Financial Wellness:

  • Support financial wellness programs and initiatives to enhance financial literacy and well-being for medical students. Collaborate with campus resources to conduct financial wellness workshops and seminars throughout the academic year.
  • Provide one-on-one financial counseling to students, addressing budgeting, debt management, and financial planning resources.
  • Schedule and coordinate debt management and counseling sessions with personalized resources for each graduating medical student.
  • Identify guest speakers and coordinate financial literacy events, including all logistics (e.g. dates, times, room reservations, food orders, flyers and communication).
  • Send AAMC Financial Wellness Program resources to students and be a financial wellness liaison to student clubs and external partners.

Document & Communication Management:

  • Oversee the efficient processing of financial aid communication and documentation, including email and phone calls, FAFSA forms, verification materials, and supporting documents. Ensure all required documents are collected, reviewed, and filed in compliance with federal and institutional regulations.
  • Maintain accurate records and databases of medical student financial aid information. Update business process guides (BPGs) annually to document internal procedures.
  • Develop timely general communications for review to medical students regarding financial aid application status, award information, and required actions.
  • Create financial aid forms and update annually for publication.
  • Identify opportunities to streamline document processing and communication procedures.
  • Collaborate with other offices and departments to enhance the overall experience for medical students. Draft and review mass communications to students, staff, and stakeholders.

Pathway Programs & Dual-Degrees:

  • Serve as the financial aid advisor point of contact for prospective and continuing students enrolled in pathway programs and dual-degrees such as Pathway Scholars Program, MD-PhD, MD-MPH, MD-OMBA and other new programs.
  • Work with the Admissions, Student Affairs, and academic departments to meet student experience needs and timelines.
  • Monitor student's accounts and process their paperwork in coordination with the main campus practices and policies.
  • Provide resources to students each semester to ensure understanding of financial aid and scholarship application
    processes.
  • Award financial aid for each unique program that aligns with the student's costs, duration, and eligibility.
  • Ensure financial aid disbursement is processed in a timely manner that is consistent with traditional medical students.
  • Create cost of attendance and recommend budgets for approval.
  • Coordinate dual-degree programs by working with advisors, faculty, and students.
  • Assist students in understanding the financial implications of pursuing dual degrees.
  • Manage dual-degree scholarship opportunities and financial aid packages.

Office Administration:

  • Submit orders for required office supplies, publications, and other resources to ensure all financial aid materials are updated.
  • Assist in handling day-to-day administrative tasks, including managing calendars, scheduling meetings, and maintaining office records. Update and monitor all required content on the financial aid website.
  • Coordinate and execute administrative projects as directed by department managers or supervisors. Schedule meetings, arrange conference rooms, and coordinate logistics for departmental events.
  • Provide administrative support for meetings, including taking minutes and distributing agendas. Assist in coordinating travel arrangements and accommodations for staff as needed.

Knowledge, Skills, and Abilities:

  • Knowledge of government, donor, and institutional rules, regulations, guidelines, and procedures related to the disbursement, assessment, and reassessment of financial aid.
  • Excellent verbal and written communication skills to convey complex information clearly and concisely to diverse audiences
  • Proficiency in using office software and financial aid management systems to create reports, track student information, and analyze data. Awareness of financial literacy concepts, including budgeting, debt management, and the financial challenges faced by students
  • Strong interpersonal skills to provide courteous and empathetic assistance to students.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • One (1) year of relevant work experience required.
