The Front-End Manager is responsible for overseeing the day-to-day operations of the front-end staff, ensuring exceptional customer service, and managing workflow processes. This role involves supervising staff, optimizing operational efficiency, ensuring regulatory compliance, and maintaining a patient-centric approach. The Front-End Manager plays a crucial role in supporting the pharmacy's overall success by ensuring smooth operations, managing inventory, and fostering a positive work environment.

Key Responsibilities:

Team Leadership:

  • Supervise, train, and mentor front-end staff, including pharmacy technicians and customer service representatives.
  • Conduct regular performance evaluations and provide constructive feedback.
  • Manage scheduling, ensuring adequate staffing levels during all shifts.

Operational Management:

  • Oversee the daily operations of the front-end, including intake, prescription processing, pharmacy verification and call center operations.
  • In conjunction with the PIC, ensure that the pharmacy team adheres to standard operating procedures (SOPs) and regulatory requirements.
  • Implement and monitor workflow processes to optimize efficiency and reduce wait times.

Customer Service:

  • Ensure high levels of customer satisfaction by addressing patient inquiries, resolving issues, and providing personalized service.
  • Foster a patient-centric environment where patient needs are prioritized and handled with care and empathy.
  • Oversee the handling of sensitive patient information in compliance with HIPAA regulations.

Compliance and Quality Assurance:

  • Ensure compliance with all federal, state, and local regulations governing pharmacy operations.
  • Conduct regular audits to ensure adherence to quality standards and operational protocols.
  • Manage and respond to any discrepancies or incidents related to front-end operations.

Collaboration and Communication:

  • Collaborate with pharmacists, pharmacy technicians, and other healthcare professionals to ensure seamless operations.
  • Communicate effectively with the back-end team to ensure timely and accurate prescription processing.

Reporting and Analysis:

  • Track and report key performance metrics related to front-end operations.
  • Analyze data to identify areas for improvement and implement corrective actions as needed.
  • Prepare and present reports to upper management on front-end performance and patient satisfaction.

Qualifications:

Education:

  • RPH or PharmD
  • Experience:
  • 8-10 years of experience in a specialty pharmacy, with at least 2 years in a management role.

Skills:

  • Strong leadership and team management skills.
  • Excellent customer service and communication abilities.
  • Proficient in pharmacy management software and other relevant technology.
  • Knowledge of pharmacy regulations, HIPAA, and healthcare compliance.
  • Ability to multitask and manage time effectively in a fast-paced environment.
