With oversight and direction from the Medical Education Manager and the Program Director, the Assistant Medical Education Coordinator will assist the Medical Education Manager in coordinating the Newton-Wellesley Hospital (NWH) Transitional Year Residency Training Program, resident rotations, medical student rotations and physician assistant (PA) students at Newton-Wellesley Hospital, an affiliate of Mass General Brigham. Using your proficiency in various software applications such as Microsoft Office, Workday, Beeline Adobe Acrobat, graphic software, you'll continually assess and direct a wide range of programmatic issues including recruiting trainees, onboarding, analyzing administrative workflow, maintaining databases, developing projects, communicating with faculty and trainees regarding a range of issues, long-range planning, and managing internal and external program relations.

Essential Functions:
The Assistant Medical Education Coordinator will be part of a team that is responsible for the following:

*Coordinate medical student, physician assistant students, residents and fellow rotations.
*Liaison to Tufts Medical Center with the assistance of the Medical Education Manager.
*Liaise with MCPHS and assist in all PA student related educational matters.
*Support office management issues and activities and monitor status of projects.
*Identify and evaluate the methods for improving workflow and cost effectiveness; may assist in program-level policy development.
*Administratively supervise and support students/residents/interns/fellows.
*Oversee trainee orientation.
*Assist with tracking, reporting, and ensuring compliance with procedures regarding licensing, moonlighting, insurance extensions, annual contracts, and initial and re-credentialing of trainees.
*Assist with developing, implementing, and overseeing the maintenance of filing, record keeping, distribution of materials, and other types of office/program systems. Evaluates and standardizes office procedures and effectively troubleshoots and resolves issues.
*Assist with maintaining databases with resident and faculty data, including New Innovations.
*Assist with planning departmental annual events including recruitment, orientation, graduation, faculty retreats, as well as various meetings and program-related events.
*Assist with organizing meetings and preparing and distributing materials for conferences and lectures. Develops brochures, invitations, or advertisements for events/lectures.
*Assist with creating and/or maintaining external program advertising/media through websites, including maintaining the Medical Education program's external website.
*Assist with managing the evaluative processes of the trainees, program, faculty, and rotations.
*Assist with responding to inquiries from residents and applicants and prioritizing as necessary to others within the department or in other hospital.
*Assist the Medical Education Manager in performing other duties as assigned by the Program Director.
*In conjunction with the Medical Education Manager, provides administrative guidance to residents regarding administrative issues and deadlines.
*Coordinate Medical Grand Rounds speakers and Continuing Medical Education (CME) program, including management of the CME database
*May train and guide new coordinators or administrative assistants as needed.

Fiscal Responsibility
*The Assistant Medical Education Coordinator is expected to be fiscally responsible and cost-conscious when performing his/her duties.

Qualifications

*Bachelor's degree preferred but will accept a candidate with strong relevant experience in lieu of degree. It is strongly preferred that candidate have experience in administration of medical education programs and/or experience in a graduate medical education setting.

*Works collaboratively with the team, external physicians and internal/external customers.

Physical Environment:
Works within the department of medical education office suite at Newton-Wellesley Hospital.
