Procurement Technician

The Procurement Technician will independently provide support services to satisfy the overall operational objectives of the National Institute of Allergy and Infectious Diseases (NIAID). The primary objective is to provide services and deliverables through the performance of support services.

Essential Functions and Responsibilities

Assists in the preparation and verification of contracts and associated documentation to prepare a complete contract package.



  • Edit and format procurement documents, correspondence and memos.


Validates receipt of requested items by reviewing packing slips.



  • Follow up on purchase and procurement requests; review receiving documentation and reconcile all receiving problems.


Enters data into automated tracking and reporting systems.



  • Enter all data into reporting systems in accordance with regulations. 2


Maintains invoice reporting logs.



  • Track the status of reports and deliverables; prepare status reports.


Resolves invoice problems in coordination with the purchasing agent or contracting officers.



  • Follow-up to assure receiving is entered timely and invoices are paid promptly.


Prepares, reformats and edits statements of work from multiple sources.



  • Prepare a variety of acquisition documents in final form, including Statements of Work, Synopses, Determination and Findings, Buy America Waivers, etc. using Microsoft Word.


Provides information and assistance to program staff on a variety of procurement matters.



  • Work with staff on creating, reviewing, formatting, editing, tracking and maintaining associated files related to purchases (i.e. acquisition packages, contract files, etc.).
  • Work with different groups to project their needs and ensure that those needs are met with no disruption of project planning.
  • Work with Project Managers to align long-term plans with material and equipment needs for different projects for both imminent and future plans.


Performs quality assurance on data related to procurements.



  • Edit and format procurement documents, correspondence and memos.
  • Make recommendations for improving record keeping, data tracking and data utilization.
