Position Purpose
Provides comprehensive administrative support to the Office of Undergraduate Medical Education ( OUME) including the Medical Education Committee ( MEC) and its various subcommittees. Ensures the smooth coordination of administrative functions of the OUME, MEC meetings, the maintenance and updating of MEC policies, and the efficient execution of various administrative tasks related to the medical curriculum. Coordinates processes for review and approval of course and phase content and curricular policies for the MEC, ensuring effective engagement of committee, student, leadership, and other relevant stakeholders and facilitating decision making.

  • 3 years of experience providing program support or the equivalent
  • Excellent verbal and written communication, interpersonal, and organizational skills
  • Ability to work effectively, efficiently, independently, and as a member of a team
  • Willingness and ability to exercise judgment and initiative and to interact with a diverse set of faculty, personnel, and outside agencies in a professional manner
  • Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities
  • Attention to detail and accuracy
  • Ability to maintain and foster confidentiality
  • Proficiency in technological applications (e.g., Microsoft Office suite, Zoom), spreadsheets, and other computer software
  • Willingness and ability to learn additional computer applications

Preferred Qualifications

  • Bachelor's degree
  • 5 years of experience providing program support or the equivalent.

Key Accountabilities


Description
MEC Meeting Coordination and Policy Maintenance

  • Schedule and organize MEC and MEC subcommittee meetings, ensuring timely preparation and distribution of meeting materials and effective communication with all committee members, both voting and ex officio.
  • Accurately record minutes of MEC and subcommittee meetings, capturing key discussions, decisions, and action items, distribute meeting minutes, and maintain a comprehensive archive of all minutes and agendas.
  • Facilitate virtual and in-person meetings, including setting up equipment and coordinating room logistics.
  • Provide administrative support to facilitate in the review and updating of MEC policies, ensuring they align with current educational standards and regulatory requirements.
  • Collaborate with committee leaders and members, as well as other offices in the medical education program, to finalize policy documents and ensure they are properly documented and accessible.
  • Assist in the preparation and submission of reports, proposals, and other documents as needed.

Description
Course and Phase Reviews Coordination

  • Collaborate with MEC subcommittees to schedule and coordinate reviews of individual courses, phases, and the curriculum as a whole, within the UME program.
  • In partnership with the evaluation and assessment team, ensure that all review materials are distributed in advance and that feedback is collected and documented effectively.
  • Track the implementation of recommendations and improvements resulting from course and phase reviews.

Description
Administrative and Curricular Support

  • Provide general administrative support to the Office of Undergraduate Medical Education and the Associate Dean for Medical Education, including locating and reserving space, arranging for necessary services, and coordinating schedules.
  • Effectively communicates with stakeholders to provide updates regarding UME policy changes, and program updates, under the direction and guidance of the Associate Dean for Medical Education.
  • In collaboration with the Dean of Educational Affairs and Operations Coordinator for Educational Affairs, contribute to the development and distribution of internal communications about UME, updating the Geisel community about curricular, policy and programmatic changes and enhancements.
  • Coordinate processes to establish clinical site affiliation agreements, communicating with sites, routing for approval and signature, tracking status, and coordinating with general counsel when needed.
  • Support projects related to institutional initiatives and Medical Education curriculum.
  • Monitor and track spending for discrete project budgets, as requested.
  • Assist in the preparation and submission of reports, proposals, and other documents as needed for leadership, related to the UME curriculum and accreditation standards.
