JOB DESCRIPTION AND POSITION REQUIREMENTS:

The College of Engineering (COE) Academic and Global Programs is an innovative, knowledgeable, and collaborative team that fosters networks of resources, guidance, and direction to students. We are looking for an experienced Academic Records Coordinator to join our team to support all aspects of central Records Management for undergraduate COE students. The person in this position will help manage LionPATH academic records for all College of Engineering undergraduate students.

The College of Engineering is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position. Questions related to flexible work should be directed to the hiring manager during the interview process.

This position analyzes academic records and makes decisions and recommendations to COE leadership to ensure appropriate implementation of policies and procedures pertaining to undergraduate student records. This position makes recommendations relating to academic decisions and coordinates the approval and manual entry of exceptions on behalf of the Assistant Dean for Academic Support and Global Programs and the Director of the Engineering Advising Center.Overall, this position is an integral member of the team that serves as the primary records authority between the College of Engineering and the Office of the University Registrars across all campuses and assists with the oversight, execution, implementation, and process improvement for all undergraduate records functions including but not limited to Entrance to Major, Change of Major, Concurrent Majors, Minors, Certificates, Change of Campus, Leave of Absence, Re-Enrollment, Advanced Standing Admissions, Advisor Assignments, Administrative Course Cancellations, and Graduation verification for all departments across the College.

The successful candidate will:

  • be very detail oriented and able to work independently on complex work assignments

  • work collaboratively with staff in the Academic Support and Global Programs office, across the academic departments in the COE and records and advising personnel at the Commonwealth Campuses

  • possess analytical skills to look critically at many aspects of a student's record

  • combine data from various spreadsheets

  • be able to manipulate large spreadsheets to accurately sort subsets of students by various attributes, question results to identify inconsistencies in the data, and generate reports related to various processes.

  • be receptive to innovation related to streamlining regular office functions

  • be able to keep high-quality documentation

  • be comfortable with using and/or learning about a variety of university digital applications.

  • demonstrate allyship and commitment to promoting a culture of inclusion and equity across all interactions with students, faculty, and staff.

Education and Experience:

This position will be filled at either a support or intermediate support level depending on the candidate's qualifications. Minimum requirements for the support level include a high school diploma or an equivalent combination of education and experience. An intermediate level 2+ years of experience and a support level is at a no prior relevant work experience required. Additional experience and/or education and competencies are required for higher-level jobs. Knowledge of University policies and procedures or demonstrated aptitude for learning and applying policies and procedures is essential and experience using LionPATH (Campus Solutions) is a plus. Office 365 tools, particularly Excel, and outstanding communication skills, both oral and written, are required. The candidate must demonstrate a genuine appreciation for working with diverse audiences.

The Records Specialist will work closely with and report to the Records Manager, and therefore must be able to work collaboratively in a cohesive team environment.

The salary range for this position, including all possible grades is:

$31,600.00 - $50,500.00
