We are looking for a Trusts & Estates Client Portfolio Administrator to join our Minneapolis office. In this role, you will take the lead in organizing and managing key client portfolios. As you work closely with practice group leaders and other key stakeholders, you will lead the development and implementation of document management policies, procedures, and best practices. Key Responsibilities Include: - Organize and maintain large legacy case files for complex family and business relationships, including both electronic and paper files. - Create and maintain external databases of client documents and information. - Lead the development and implementation of document management policies, procedures, and best practices for the practice group, in coordination with practice group leader and practice group director, and in consultation with the firm's ethics and loss prevention counsel and records department. - Serve as subject matter expert on the practice group's paper and electronic records policies and procedures. - Coordinate the digitization of paper documents and organization of electronic documents. - Ensure proper usage of the practice group's technology tools for storing client information and documents. - Train practice group staff on T&E's document management policies and procedures. - Foster a culture of compliance and awareness regarding the importance of document management. - Provide ongoing support and guidance to business professionals regarding practice group specific information and document management. - May perform other duties not mentioned above. What we're looking for: - Associate's and/or bachelor's degree. - At least 5 years of law firm experience as a legal assistant or paralegal, or equivalent experience. - Experience with organizing and transitioning from paper files to electronic records. - Understanding of trusts, estates, and other entities commonly used in estate planning for high-net-worth clients. - Experience with document management systems and various office related technology systems. - Excellent organizational and project management skills. - Exceptional attention to detail and accuracy. - Strong analytical and problem-solving abilities. - Effective oral and written communication skills and strong interpersonal skills. - Ability to maintain client and firm confidentiality. - Ability to work independently and collaboratively with cross-functional teams. - Proficiency in NetDocuments is preferred.
