Position Summary

The Receptionist will be responsible for handling day to day operations in the office setting and coordinating message distribution to staff and outside organizations. They will be responsible for coordinating the psychiatrist's schedule which will include making reminder calls consumers and utilizing Outlook, or a similar electronic system, to maintain schedule.

Essential Duties and Functions

  • Provide administrative support to the team lead to ensure compliance with programmatic requirements
  • Serving as a liaison between consumers and staff, such as attending to the needs of office walk-ins and calls from consumers/natural supports
  • Maintain prescriber schedule on Outlook or similar electronic scheduling system
  • Track psychiatric evaluations and ensure that clients are scheduled appropriately with prescriber for timely completion of evaluation annually
  • Provide reminder calls to individuals who have appointments scheduled with prescriber
  • Maintain consumer files in accordance with standards, to include creating new charts for incoming consumers, filing documentation in charts, purging charts, and breaking down discharged charts
  • Pull charts for prescriber appointments and as needed, scan information to the prescriber
  • Maintain and order office supplies
  • Assist team lead/unit director in overseeing/maintaining data base or electronic health record
  • Input billing activity in a timely and accurate manner into web-based system or electronic health record
  • Submit accurate and on time reimbursements for staff, including mileage reimbursement and supplemental pay requests

Qualifications

  • Bi-lingual English/Spanish preferred
  • High School diploma or GED required
  • Ability to pass a drug screen and background check
  • Highly organized and self-motivated
  • Ability to work independently, multi-task, prioritize and problem solve
  • Proficient in Microsoft Office suite
