Job Summary:

Join the Department of Pathology and Lab Medicine's faculty support team and truly make a difference! As part of our collaborative administrative team, our Medical Program Assistants work directly with faculty on a daily basis, assisting with a wide variety of academic, clinical and administrative projects. We strive to highlight your skills and interests to provide a fulfilling, professional position. Responsibilities include managing faculty calendars, meeting requests and meeting minutes/follow up, transcription of autopsy reports and autopsy billing, as well as other faculty-centered tasks. Opportunities to assist with department website stories and content also available.


Responsibilities:
Performs administrative duties to support providers, staff, services, and unit programs. May serve as the primary contact or customer service representative and subject matter expert. Tracks, prioritizes, organizes, and completes multiple ongoing clinical, research or academic projects. Requires Health Insurance Portability and Accountability Act (HIPAA) and Personal Protective Equipment (PPE) knowledge or training.

  • 50% Performs administrative tasks including telephone customer service, word processing, transcribing, filing, and calendaring
  • 10% Acts as the primary liaison for providers or programs and refers stakeholders to providers, agencies, patients, and staff
  • 10% Assists in coordinating the complex daily activities of providers or program(s) by entering information into databases, maintaining files and materials, and preparing reports
  • 5% Serves as the primary contact and subject matter expert for specified program policies and procedures
  • 5% Identifies opportunities for program improvements and makes recommendations to the appropriate entities
  • 5% Schedules logistics and secures or distributes resources for program meetings, department events, conferences, and travel
  • 5% Creates department content and identifies updates to webpages
  • 10% Manages program accounts receivable activity

Qualifications:

Preferred Experience:
- Prior experience in a professional office setting, preferably an academic institution
- Medical terminology
- Attention to detail, work independently and the ability to work as an effective team member are highly desirable
- Ability to communicate effectively and provide excellent support service

Required Skills/Background:
- Proficient with Microsoft Office suite
- Requires excellent organizational skills
- Experience managing multiple tasks and meeting deadlines


Work Schedule:

Monday through Friday 8:00am to 4:30pm

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
