The Institute leads a portfolio of $26M in program services that are increasing the capacity of child welfare and human service systems, largely through training, technical assistance, applied research and evaluation.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator I for the Institute for Families. The Program Coordinator I reports to the Senior Program Administrator Supervisor (Business Title: Supervisor of Operations).

Among the key duties of the position are the following:

  • Supports educational activities for the early childhood workforce, largely focusing on Grow NJ Kids Training Services, an initiative training professionals employed in the State's early care and education network.
  • Coordinates multiple facets of training delivery, assuming primary responsibility for scheduling sessions and topics, assigning and supporting a team of instructors to deliver courses, and organizing the venues and/or online platforms that host training sessions.
  • Provides support through review and preparation of materials, coordinating host platforms, responding to requests for training sessions, responding to inquiries from learners, and supporting trainers assigned to deliver coursework.
  • Represents the program and Institute at meetings and trainings.
  • Coordinates daily project activities.
  • Assures compliance with grant mandates.
  • Provides technical, administrative, and logistical support for early childhood programs related to training education offered through GNJKTS.
  • Reviews training content, supports trainer professional development, and interfaces with all stakeholders of the project to ensure bi-directional communication and collaboration.
  • Supports program management in policy review, procedure updates, and overall program administration.

Qualifications


Minimum Education and Experience

  • Bachelor's degree or a combination of education and/or experience.
  • Two (2) years of related experience in early childhood programming.

Certifications/Licenses
  • A valid driver's license would be required for this position; Use of personal vehicle in order to travel for business demands.
Required Knowledge, Skills, and Abilities

  • Exceptional organizational and communication skills.
  • Strong project coordination skills.
  • Advanced computer literacy.
  • Ability to work collaboratively within a fast-paced team.
  • Ability to work independently and to project a professional image and represent the Institute for Families effectively.
  • Clear understanding of administration, record-keeping, and Microsoft Office programs.
  • Ability to be detail oriented.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, etc.), learning management systems, video/calls/conference, and email applications.
  • Ability to handle a wide variety of tasks simultaneously and maintain calm under pressure.
  • Ability to regularly take initiative and always follow-through independently.
  • Ability to interact effectively with very diverse people and with a wide range of stakeholders.
  • Ability to manage time and projects to complete work thoroughly and on time.

Preferred Qualifications

  • Bilingual skills, with fluency in English and Spanish.
  • Understanding of the work of early child care providers in New Jersey.

  • Desktop and laptop computers.
  • MS Office software: Word processing, database, project management, and spreadsheet applications.
  • Copier machines, fax, and other office equipment.
  • Software and online technology and tools that host web-based meetings and events, including Zoom, WebEx and Teams.

Physical Demands and Work Environment

  • General office environment including light lifting.
  • Must be willing to travel, when necessary, to sites throughout New Jersey.
  • Must be willing to flex working hours for availability for evening or weekend coverage.
