Primary Purpose of Organization Unit
The library is the main research support unit for the university as well as providing instruction, handling university archives, student support for courses and faculty support for research.

This position will provide administrative assistance within the department.
Job Description
The Administrative Support Associate position performs a variety of administrative, secretarial, and office support duties for the office of the Dean within the Mary Livermore Library and works closely with the Budget Coordinator. Professional dress and communication skills, along with knowledge of office procedures and workflow is expected. Applies confidentiality and good judgement for problem resolution based on delegated authority from the supervisor. Duties perform include: receptionist in administrative office.

Preparation of documents and reports, tracking data, use of office technology, compiling records, organizing and maintaining files, posting information, greeting/referring/assisting visitors/clients/staff/others, mail distribution, and photocopying. Handles department calendars, timecards, student worker paperwork. Schedules and coordinates appointments, travel, meetings,event planning and event coordination.

Reviews and updates standard operating procedures by determining and consulting appropriate resources such as policies and manuals. Contacts service recipients, vendors, or clients to provide or obtain information. Composes correspondence/PowerPoints/flyers/brief summaries using Canva or MS Office. Responds to questions/issues that that deviate from other staff. Responds to requests for program and procedural information. Problem-solves and responding to most questions and inquiries whether internal or from the public. Uses program knowledge to interface with other offices and organizations. Point of contact for facilities and building maintenance requests.

Mandatory Personnel: Employees whose presence has been determined to be mandatory to University operations during certain types of adverse weather or emergency events.
Management Preference
Skills in Office 365 (Excel, Visio, PowerPoint, Word), Canva, Google workspace, Microsoft Teams, WebEx, Zoom, and proficiency to learn new computer applications.
