Job Description

The Facilities and Assets Coordinator is part of the facility, safety and planning team and provides administrative and logistical support to professional staff on the team, as well as coordinating facilities efforts related to Residential Life-owned and -operated properties.

Essential Functions

  • Provide administrative support to the Associate Director of Residential Facilities and Safety. Assist with meeting agendas/minutes, HR needs, etc. Provide support to other professional staff on the team as needed.
  • Provide logistical support to the team. Schedule meetings/room reservations, coordinate supplies and provide resources as necessary.
  • Assist facility, safety and planning team members with coordinating and communicating project schedules.
  • Submit and track work orders (including warranty repair/replacement), ensuring timely completion and follow-up as necessary. Monitor cost, and ensure redundancies are omitted.
  • Work with department and Marketing and Communications staff to update students and staff about facility-related situations through a variety of physical and digital methods (email, flyers, digital signage, website updates, etc.).
  • Support policy and procedure development and maintenance.
  • Assist in developing resources and gathering of data to track work orders, FFE (furniture, fixtures and equipment) repairs/replacement, data activation/termination, etc.
  • Maintain accurate records for FFE for all Residential Life-owned and -operated properties. Request quotes for new and/or replacement items, monitor submitted orders and schedule installations.
  • Record and monitor inventory. Coordinate furniture/equipment relocation (to another Residential Life space or to Surplus). Assist with implementation and maintenance of gaming consoles, tables, TVs, etc.
  • Serve in an on-call door access rotation (requires on-call evening and weekend assistance).
  • Provide instruction and guidance and assign/delegate work as appropriate to student staff to assist in maintaining facility operations.
  • Coordinate check-out, maintenance and staff training for department vehicles.
  • As with all positions, involvement with other duties and responsibilities is expected in order to serve the customer and maintain our Residential Life and Student Affairs mission.
Shift

7:30 a.m - 4:30 p.m. Monday through Friday

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

This position serves in an on-call rotation to assist students and staff with after-hours door access issues.

Minimum Qualifications

  • High school diploma or an equivalent combination of education and experience
  • At least 5 years of experience from which comparable knowledge and skills can be acquired
Preferred Qualifications

  • Demonstrated experience coordinating and providing office support
  • Good verbal and written communication skills
  • Understanding of facilities/maintenance projects
  • Detail-oriented and highly organized
  • Self-motivated and able to follow through on multiple tasks at the same time
  • Excellent customer service skills
  • Willingness to do what is necessary to make the team successful
  • Proficient in Microsoft Office (including Word, Excel and Outlook)
  • Data entry experience
Anticipated Hiring Range

Salary Range: $14.51-$18.26 per hour, paid on a biweekly basis.

Grade: GGS-006
