About the Department
The Science House ( TSH) is the College of Sciences statewide K-12 STEM outreach unit. Established in 1991, TSH is a national model of university collaboration between university departments, businesses, and the K-12 community. TSH's mission is to collaboratively maintain and develop K-12 teacher and student programs that inspire a passion for STEM learning, research, and discovery. The Science House achieves this through four strategic priorities: 1) Teacher Professional Development centered on equipping teachers to use engaging instructional practices, emerging technologies, guided inquiry, and project-based learning, 2) Student Programs focused on problem-solving, applied learning, collaboration, communication, critical thinking, and competition, 3) Rural Satellite Offices that provide teacher professional development, student programs, and an Equipment and Technology Loan Program in rural, high-need areas, and 4) Broader Impact Support that helps NC State faculty in developing Impact Identities and carrying out broader impacts activities integrated with their research that advance open and participatory science.

Essential Job Duties
The Administrative Specialist provides general administrative support for the Catalyst program and other Science House programs.

Catalyst is a program for high school students with disabilities who are in the Occupational Course of Study Program or Regular Education Setting in High School, including Honors and AP Classes (not self-contained or needing a one-on-one assistant) but prefer small group individualized instruction with hands-on science experiences to learn about STEM. Participants learn about STEM content, skills, and careers. They also find out about STEM programs at Wake Tech and NCSU. Areas of focus include Biotechnology, Coding, App Design, Wearable Devices, Energy, Engineering, Art, Natural Sciences, Agriculture, Forestry, Space, Soft Skills, and many other topics. Students receive paid STEM internships, field trips, and the development of workforce readiness skills.
Duties include but are not limited to:
For Catalyst:

  • Use NCDHHS's case management system, ENCORE, to document all milestones with program participants.
  • Assist in the preparation of grant documentation as requested by the program director.
  • Prepare or assist program staff with the preparation of travel authorizations and reimbursements. understand and apply NC State travel policies and procedures.
  • Assist in logistics planning for the program's field trips, including securing lodging, ground transportation, and airfare reservations.
  • Prepare or assist program PCard holders in preparing their PCard receipts for upload. Understand and apply NC State policy on PCard purchases.
  • Place MarketPlace requisitions for the Catalyst program and assist program staff with their requisitions. Understand and apply NC State procurement policies.
  • Enter voucher payments for small purchases and stipends in the Finance system, including preparation of related documentation. Review potential purchases with the grant budget.
  • Assist with the preparation of purchasing contract documents.
  • Enter student, temp, and unpaid appointment actions in the HR system, including preparation of related documentation.
  • Assist program staff with Reporter system data entry.


For Other Science House Programs:

  • Assist staff in preparing their PCard receipts for upload, travel authorization and travel reimbursement preparation and documentation.
  • Enter voucher payments for small purchases and stipends in the Finance system, including preparation of related documentation.
  • Deliver deposits to the Cashiers Office. Prepare deposits as needed (backup duty).
  • Enter student, temp, and unpaid appointments actions in the HR system, including preparation of related documentation.
  • Answer staff questions about WRS related to expenditures and project ID balances.
  • Receive and direct visitors to the Science House. Receive deliveries and notify recipients. Answer the Science House's main phone line and provide information to callers.

Other Responsibilities
Other administrative support duties as assigned by supervisor.
Qualifications


Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Other Required Qualifications

  • Knowledge of finance, bookkeeping, or similar software systems
  • Competency using Google Docs/Sheets or Microsoft Word/Excel, Google Calendar, Gmail, Adobe Acrobat or similar PDF editing software. Professional experience with these software applications preferred.
  • Accurately and efficiently enter data and prepare documentation for fiscal and HR transactions.
  • Effective communication skills in written and spoken communication.

  • Understand, and apply university policies and procedures for basic fiscal, purchasing, and HR actions.
