Summary of Job Duties:The Assistant Residency Coordinator, under the direction and supervision of the Residency Coordinator, is responsible for providing administrative support for the residency program as outlined in the Accreditation of Graduate Medical Education (ACGME) Program Requirements. The Assistant Residency Coordinator will also work closely with directors, coordinators, and administration both on the main campus and with Regional Programs throughout Arkansas to coordinate rotations, orientation activities, housing, and other elements that play a crucial role in fostering a positive and productive learning environment and overall student experience. Qualifications:

Minimum Qualifications:

  • Bachelor's Degree PLUS two (2) years of experience in general administrative office support OR Associates Degree PLUS four (4) years ofexperience in general administrative office support OR High School Diploma/GED PLUS six (6) years ofexperience in general administrative office support.

Knowledge, Skills, & Abilities:

  • Proficient with Microsoft Office software including Outlook, Word, and Excel.
  • Experience in student coordination or administrative support, managing projects, goals, and other assignments.
  • Outstanding organizational, analytical, and communication skills.
  • Multitask duties and responsibilities without close supervision, initiate activities to advance the work of the office, and prioritize work to maximize time and effectiveness.
  • Interact positively with faculty, students, alumni, and external constituents.
  • Committed to working in a multicultural, multi-racial environment with persons of diverse backgrounds and working styles.
  • Discreet and able to deal with confidential information.

Key Responsibilities:

  • AHEC Scholars - Promote, recruit and provide guidance for professional students into the AHEC Scholars program, assist with applications and forms for financial payment, advise scholars on the completion of required hours and activities, and document, evaluate, and report activities to meet central and federal expectations.
  • Advising/Support - Serve as advisor, coach, mentor and ongoing support and resource to students at all stages of the educational pipeline to strengthen and improve their writing and interview skills, MCAT prep, resumes and personal statements for professional school applications along with helping connect and facilitate students with mentors, volunteer service hours and shadowing opportunities.
  • Programs/Events - Work with other Recruitment Specialists to develop, coordinate, and implement a comprehensive, proactive student recruitment and marketing plan that will successfully recruit and retain qualified Arkansas students across the state for both in-person and virtual options such as MASH/CHAMPS camps, A Day in the Life, MD Mentors, UAMS Day events, and other related programs.
  • Represent or Promote - UAMS and Health Careers at area high schools and collegesto encourage students to pursue a career in health care through fairs, presentations, and community events in collaboration with UAMS Colleges, Regional Campuses and Division of Diversity, Equity & Inclusion.
  • Collect data and enter into Regional Campuses IT Savvy database to record and track all data points on students participating in UAMS programs at key points along the pipeline.
  • Prepare quarterly and annual progress reports, and other reports as required, as well as set quarterly goals.
  • Responsible for communication between UAMS college curriculum committees, working to ensure alignment with HRSA core topics to improve program efficacy.
  • Acts as central coordinator for the expansion of NAO AHEC Scholars across disciplines, building internal/external relationships to accomplish program goals.
  • Working with central staff to meet the ongoing goals and objectives of current and future grant initiatives, as well as regional center needs, there may be other duties as assigned at any time related to key partnerships, marketing, residency interviews, clinical needs, and community relations, among others.
