Position Summary

The Operations Manager is part of the Cancer Center Research Administration (CCRA) team with a broad spectrum of responsibilities required to maintain continued operations within the UNMCCC Cancer Research Facility (CRF). Faculty, staff and students rely on the Operations Manager to assist with major operations within the building including purchasing, common equipment service contracts, maintenance and repairs, access and key requests in CRF, inventory/surplus and a variety of other aspects, as needed. In addition to disseminating building related information to the CRF, the Operations Manager acts as the building liaison coordination with many different departments at UNM such as facilities maintenance, recycling, CRLS, parking & transportation, main purchasing, UNMCCC fiscal as well as outside entities needing access or working in collaboration with UNM and the CRF. In order to facilitate communication, the Operations Manager maintains the building directories, emergency contacts, email lists and floor plans for the building as well.

One of the main duties of the Operations Manager is oversight of the CCRA centralized purchasing team. All purchases for the CRF and UNMCCC Shared Resources are funneled through the CCRA centralized purchasing system. This includes capital equipment purchases that are entered into UNM inventory, thus the Operations Manager will oversee the purchase and tagging of new inventory and will play a role in the surplus of equipment, as needed. The centralized purchasing team is composed of 2 procurement reps and an operations specialist who manage all the purchases, however, the Operations Manager may also be involved in the large/complex purchases either by purchase order or pcard. The Operations Manager may also be required to assist in administration of spending within the UNMCCC Shared Resources and making sure expenses stay within budget. Thus, it is expected that the Operations Manager is proficient in entering data in the CCRA purchasing database, running reports in ACCESS database, entering purchase requisitions/receivers/etc in LoboMart, pcard reconciliation in Chrome River and surplus requests in AppTree. Some finance/accounting experience as well as familiarity with Banner 9 and My Reports is preferred. In addition, the Operations Manager works closely with the Grants & Contracts Manager in order to facilitate the workflow between the grants and purchasing teams and is a leader in the CCRA.

The Operations Manager will also assist in the direct supervision of the facilities and shared resources team. They will work with the facilities team in order to ensure that iservice requests are entered, tracked and completed in a timely manner. They will further ensure that shared goods such as LN2 and dry ice are ordered from CRLS as needed for the investigators in the building and assist in the mediation of lab coat cleanings quarterly for the labs of CRF. The Operations Manager also oversees the team approving CRF room reservations and parking passes. In addition, the Operations Manager may also be required to assist with training on common equipment (i.e. autoclaves, DI external polishers, ultracentrifuge). Familiarity with this type of equipment is required. The Operations manager will further provide administrative assistance for the Shared Resources in regards to HR functions, labor changes and assistance in data collection. While they may not directly work in iLabs for Shared Resource billing, PR modification and PR uploads, some experience with iLabs is required so that they can be backup for the Program Coordinator for Shared Resources and Facilities who will report directly to them.

Given the wide range of responsibilities for this position, the Operations Manger will need to work well in a team; able to delegate a variety of work to their teams as well as work independently in order to maintain the level of operations in the CRF. The Operations Manager should possess exceptional problem-solving abilities, time management skills, resourcefulness, attention to detail as well as being effective at follow through. Other essential skills are strong communication skills both written and verbal as well as a high degree of competency in MS Office, Excel, Adobe and/or other software computer applications.
