Jefferson Lab is seeking a team member with excellent interpersonal and communication skills who can successfully prioritize multiple tasks to support the Chief Planning Officer (CPO) &Project Service and Support Office Manager. (PSSO). Under limited supervision,the Senior Administrative Specialist will perform a variety of administrative activities with strong internal customer service in support of the Project Services and Support Office (PSSO). These tasks will include gathering, collecting, recording, tracking and verifying data and information from multiple sources utilizing all Microsoft suite applications. Interface with various stakeholders across the lab community and provide data and information to other Jefferson Lab departments regarding PSSO processes and procedures. In this role you will:
- Provide PSSO coordination support, including organizing and maintaining files, tracking deadlines, and assisting with documentation as directed by the Chief Planning Officer and/or Project Services and Support Office Manager
- Serve as primary administrative support to PSSO group leads, supporting calendar and meeting management and occasional travel planning for the PSSO department
- Assist with facilitation of meetings and reviews to include logistics, briefing materials, meeting room set-up, and other associated administrative duties
- Perform various clerical duties, including filing documents, data entry, photocopying, and scanning for PSSO staff. Assist in General Office administration (i.e., office supply ordering, form and documents inventory, filing, etc.)
Qualifications we require: Education:
- Associate degree in a related field
Experience:
- 7 years progressively responsible experience in an
administrative capacity, particularly in an executive environment and/or a supervisory role. Additional education or work experience maybesubstituted
Knowledge, Skills and Abilities:
- Demonstrate strong interpersonal skills and teamwork while providingcourteous and efficient customer service both internally andexternally, maintaining confidentiality of sensitive information
- Strong written and verbal communication skills, with a friendly, service-oriented personality
- Familiarity with compiling and generating reports, statistics, timelines, tables, graphs, correspondence and presentations utilizing common word processing and spreadsheet software
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Ability to work independently or as a part of a team to solve problems with sound resolutions
