The MU Student Health Center (SHC) is a unit within the University of Missouri-Columbia's Student Health & Well-Being department under Student Affairs. The Student Health & Well-Being area consist of a network of care and services that includes the SHC, Counseling Center, and the Wellness Resource Center.

The SHC offers medical care, psychiatric care, allergy/immunization/foreign travel care, and public health and case management support. As part of Student Health and Well-Being, the SHC helps coordinate treatment and care of our patients with professional colleagues at the Counseling Center.

Job Description

Position Functions

The Administrative Assistant supports the Student Health Center (SHC) Director and other administrators by handling various activities, processes, and projects. As the primary administrative support person within the department, they manage a range of tasks, including complex processes unique to the department. They may also oversee student workers or Graduate Assistants, as needed.

Position Reports to: MU Student Health Center Director

Description of Duties

In additional to typical clerical and administrative duties, the Administrative Assistant's responsibilities will include but are not limited to the following:

Job functions specific to SHC (in coordination with SHC Director):

  • Provide administrative support to the Director and administrative staff.
  • Assist Director with their daily calendar and scheduling of engagements on campus.
  • Act as the main contact for MU SHC administrative offices, maintaining contact lists and welcoming guests and visitors.
  • Engage in advocacy, marketing, and health & wellbeing promoting initiatives for SHC, as assigned.
  • Participate in advocacy and marketing activities for SHC, as assigned.
  • Demonstrate extensive knowledge and insight into SHC services and resources, benefiting both students and the broader Mizzou campus community.
  • Answer phone calls to administrative offices and direct them as appropriate.
  • Maintaining supplies and necessary office upkeep for administration on a daily and ongoing basis
  • Organize, coordinate, and take official minutes for internal departmental meetings at SHC.
  • Demonstrate efficacy, proficiency, and regularly work and design functional documents within MS Excel, MS Word, Power BI, and other platforms available to the SHC.
  • Manage storage of policies, procedures, and training documentation using SHC's document management system, PowerDMS.
  • Assist and support the Director and designated SHC staff with annual inventory and long-term budget planning.
  • Schedule, coordinate, and help execute internal and external events and meetings for SHC.
  • Assist with travel planning, scheduling, and coordinating travel (including reconciling travel purchases).
  • Provide fiscal support, as assigned.
  • Work as a liaison with Division of Student Affairs Human Resources, as assigned.
  • Be available to serve as the designated Building Coordinator.
  • Serve as the primary SHC liaison for custodial services.
  • Serve as the primary point of contact with MU Facilities regarding space and external grounds issues.
  • Assist in internal onboarding of new employees (i.e., MUHC appointment, badging, etc.), as assigned.
  • Develop and publish a monthly internal newsletter in cooperation with Director.
  • Other duties as assigned.

Assessment Plan for Administrative Assistant Position

This position's success will be determined by their accuracy, organizational skills, attendance and punctuality, communication skills, response time, and satisfaction of the constituents this position supports. Also, this position is expected to contribute to the harmonious environment of the SHC actively and consistently across all functional areas.

Shift

Monday - Friday; approximately 8:00 AM - 5:00 PM

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Candidate should be able to demonstrate high proficiency using Microsoft Office (Word, Excel, Outlook) and other business productivity oriented digital platforms. Strong organizational and administrative skills are critical, including managing schedules, inventory management, communications, and coordination of activities and events. Candidate should display they have a high attention to detail, great internal and external customer service skills, can maintain strict confidentiality, and support a strong teamwork ethic. Candidate should have the ability to actively contribute to the harmonious environment of the MU Student Health Center.

Anticipated Hiring Range

Range: $18.50 - $25.00
