Job Description

Torch Technologies, a 100% employee-owned company, is currently seeking to hire afull-time Administrative Assistantto support theday-to-day operations of Torch's Shalimar, FL office. This role provides matrix support to the Corporate Office Administrative Staff and reports to the Sr. VP of Air Force Weapons (AFW) Business Unit. This position requires organizational skills, a strong work ethic, attention to detail and someone who is a dedicated team player.

This position requires a highly motivated individual with administrative assistant experience to include the below job duties:



  • Answer telephone, screen and direct calls, provide information to callers, greet visitors, provide general administrative and clerical support.
  • Assist local travel coordinator as needed.
  • Assist with HR recruiting duties to include coordinating interviews, contacting candidates for pre-screen/pre-offer calls, emailing benefits to candidates, prepping slides for meetings and assistance with tracking open/pending requisitions.
  • Coordinate meeting logistics, including registration and attendee tracking.
  • Coordinate AV/IT needs and ensure IT support is provided when/as needed to support specific activities/meetings.
  • Setup conference rooms to support scheduled activities/meetings.
  • Coordinate refreshments for meetings and events as required.
  • Responsible for running errands to support all office activities including replacing stock in the office break rooms.
  • Order and maintain office supplies for both Torch offices in Shalimar.
  • Coordinate cleaning crew/maintenance on building with landlord.
  • Provide support for employee morale events, fundraisers and conferences.
  • Assist HR withthe coordination and execution of onboarding new employees.
  • Compile monthly AFW Business Unit reports from leadership team. (backup only)
  • Compile AFW Business Unit presentation and meeting materials. (backup only)
  • Maintain AFW Business Unit Org charts & deliver to corporate office monthly.
  • Assistance with contract CDRLs as deemed necessary.
  • Assist Security as needed/required.
  • Assist AFW Group Senior Vice President with various administrative duties.

Job Requirements

  • Must be a U.S. Citizen.
  • Must be able to obtain and maintain a DoD Secret level clearance.(active Security clearance desired)
  • Must have a High School Diploma; College degree is preferred.
  • Must have 5+ years of experience as an office administrator, office assistant, event coordinator or relevant administrative role is required. Experience working for a government defense contractor ispreferred.
  • Working knowledge of MS Office including Excel, Word, PowerPoint and Outlook
  • Must be self-motivated and comfortable working in a fast-paced environment
  • Outstanding communication and interpersonal abilities are required.
  • The ability to stack chairs and set up tables is a physical requirement. The ability to lift at least 40 pounds required.
  • Use of a personal automobile will be required for errands. Mileage reimbursements to be provided. Current valid driver's license required.
