Position Summary Information


Primary Purpose
Under the supervision of the Assistant Dean of Admissions, Student Affairs, and Diversity, the admissions coordinator will be responsible for admissions-related duties, activities, initiatives, and programming for the dental school's academic programs.

Essential Functions

  • Advise, communicate with and provide information to prospective students / dental applicants regarding admissions questions, requirements, admissibility, transferability of credit, the status of application materials, general school information, and strengthening applicant preparation.
  • Review, evaluate, and score DDS and IDS applications to determine eligibility for interview and admission consideration.
  • Maintain application processing, applicant statuses, applicant tracking, file review/assignments on admissions application programs.
  • Review and approve criminal background check reports of incoming/admitted students.
  • Train faculty, staff and student admissions committee members/ambassadors on admissions interviews, and admissions/application portals and systems.
  • Manage admissions interview days and pre-dental club and organization campus visits, including tours and admissions presentations; Present and conduct school tours for prospective students, applicants, visitors, and pre-dental groups.
  • Coordinate and participate in on- and off-campus pre-dental enrichment, recruitment and outreach events (e.g., Summer High School Institute, Impressions Day, and Pre-Clinical Simulation Course), activities, and fairs; present and provide information about the school and admissions procedures through info sessions conducted in-person and online.
  • Maintain database: national pre-dental, -health, -hygiene advisors, clubs and organizations contacts; develop and maintain relationships with pre-dental/-health counselors, and advisor contacts at high schools, colleges, and universities.
  • Coordinate development, production, ordering and distribution of admissions marketing materials, including powerpoint presentations, newsletters, brochures, as well as merchandise for recruitment fairs and distribution to pre-dental advisors and students.
  • Assist Student Affairs and other departments with coordination of school-sponsored events, activities and programs including:

    • 1st and 2nd year class retreats
    • Matriculation Week
    • Asilomar conference
    • Dugoni Discovery Day
    • Provide department administrative support:
    • Ensure appropriate contracts and certificate of insurance are obtained and reviewed by administration for events
    • Annual Admissions Committee meeting
    • Monitor and update department Outlook calendar
    • Process and prepare: invoices for payment, requisitions, purchase orders, budget transfers, reimbursements, and staff/student travel requests



  • Manage the Office of Admissions' social media platforms; create content; moderate user-generated content; collaborate with other departments for social media initiatives.
  • Create, distribute and prepare online admissions surveys; assist with survey data/outcomes collection, organization, distribution, and analysis.
  • Update and maintain admissions-related webpages and school information on organized dental organization directories.
  • Provide coverage for admissions/student services staff as necessary.
  • Perform all other duties as assigned by Assistant Dean of Admissions, Student Affairs,
  • and Diversity.

Minimum Qualifications
Knowledge of:

  • Student admissions procedures and protocol.
  • Intermediate knowledge of Microsoft Word, Excel, Access, and PowerPoint.
  • Principles of business letter/report writing.


Experience:
  • Minimum three years of experience with graduate program admissions/student services or higher education.
Education:
  • High school diploma or equivalent.
Other Requirements:

  • Position is full-time, 7.5 hours per day, 5 days per week.
  • Position requires approximately 25-30% travel
  • Occasional weekend or evening assignments may occur during various school events.
  • Position requires valid California Class C driver's license.
  • Requires ability to drive on university business; must meet and maintain automotive insurability requirements as defined by the university's fleet safety rules.

Preferred Qualifications
Knowledge of:

  • Banner, Qualtrics, Outlook, and WebAdMIT highly desirable.


Ability to:

  • Accurately communicate admissions requirements, processes, and protocol.
  • Communicate effectively with students, faculty, staff, and public.
  • Effectively manage multiple projects and assignments and meet deadlines.
  • Respond to last minute changes appropriately and professionally.
  • Work independently and in a team environment.

  • Compose/edit professional business letters and reports.

  • Project a helpful, caring demeanor.
  • Provide excellent customer service to all constituencies.

Experience:

  • Experience in an educational institution in admissions, student services, or academic affairs is helpful.
  • Experience with admission-management software/centralized application services (WebAdMIT and Slate) helpful.
  • Experience in public speaking, including delivering presentations and facilitating and participating in panel discussions.

Education:
  • Bachelor's degree preferred.
Other:

  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.
