Primary Purpose of Position
This is a 12-month position that assists the Willie A. Deese College of Business and Economics ( WDCOBE) Dean's Office in the effective management of the operations and achievement of long-term success for the College. The goal of the WDCOBE Dean's Office is streamline and efficient processes that result in high quality, accurate, and timely engagement with students, faculty, and administration.

The Resource Officer provides management, operational, and professional support for the Office of the Dean in the Willie A. Deese College of Business and Economics ( WDCOBE). This position supports the Dean through managing administrative functions of the College's physical and human resources. The position will manage the hiring processes for WDCOBE. This position will also manage space reservations and provide administrative support for ongoing building maintenance.

This position will frequently interact and coordinate College activities with internal and external parties including University central offices. The individual will interact daily with students, faculty, staff, and external parties. The individual must perform professionally, responsibly, and with independence, courtesy, and discretion.

The University is on a journey to become a Research 1 (R1) institution. The Resource Officer will work with the faculty and staff to support engagement with Human Resources, Facilities, Space Management, University Enterprises, etc. The Resource Office will anticipate human and physical resource needs of the College, formulate potential solutions, and initiate corrective actions. This position will be essential to the execution of efficient and effective operations of an R1 College.
Primary Function of Organizational Unit
The Willie A. Deese College of Business and Economics at North Carolina A&T State University has proudly maintained accreditation by The Association to Advance Collegiate Schools of Business ( AACSB International) since 1979. The Accounting accreditation has been in place since 1986. The most recent reaffirmation of accreditation occurred in 2021.

The leadership team for the Deese College includes the Dean, Associate Dean of Research and Operations, the Associate Dean of Student Success & Programming, the Assistant Dean/ MBA Director, the MACC Director, the Director of the Transportation Institute, five academic Chairpersons, about 14 administrative services staff and 2 technical services staff. A faculty of over 75 (65 tenured and tenure-track) teach in the Departments of Accounting and Finance, Business Information Systems and Analytics, Economics, Management, and Marketing and Supply Chain Management. Faculty are tasked with providing quality teaching and learning supported by relevant research and service. The student body consists of approximately 1,900 undergraduate and graduate students. Undergraduate degrees are awarded in Accounting, Business Analytics, Business Information Technology, Economics, Finance, Management Information Systems, Entrepreneurship, Marketing, Sales, and Supply Chain Management. The graduate degrees offered are the MBA and Master of Accountancy degrees.

Required Competency Human Resources Management
Duties
Human resources management responsibilities for this position are mainly process and procedure related. The person in this position would monitor HR policies and plans. She/he would support the recruitment and retention process by:

  • Develop an effective working expertise of PeopleAdmin systems.
  • Handle sensitive and confidential information with discretion.
  • Attend HR policy meetings and communicate information on policies, procedures, and laws to administrators, faculty, and staff in the college.
  • Gather data, position description, and posting information from administrators, chairs, and college leadership. Prepare new position postings and update prior posting with the assistance of supervisors.
  • Assist administrators and leaders with advertising the position and efficiently executing recruiting efforts.
  • Arrange details for candidate visits and manage the documentation during the hiring process.
  • Support WDCOBE search committees by assisting with visit schedules, space arrangements, and evaluation documentation/support.
  • Coordinate quarterly WDCOBE staff meetings.



Required Competency Work Coordination/Planning
Duties
Work coordination/planning responsibilities are related to the buildings and physical resources maintenance, upgrades, and construction. These responsibilities will require time management, communications, adaptability, organization, and teamwork. The specific duties include:

  • Manage access to WDCOBE, the buildings, the offices, and the physical assets. Distribute and collect keys to/from authorized employees. Monitor and report any security issues to the proper authorities.
  • Monitor the buildings and identify physical and IT issues and concerns.
  • Manage space assignment for classes, events, projects, faculty, etc.
  • Create a process to easily collect information on building and facilities complaints or recommendations.
  • Develop ideas, compile research, and make recommendations on potential solutions to issues and problems associated with buildings and physical resources.
  • Engage and coordinate with University Facilities and IT to resolve concerns and maintenance issues. Create work orders to initiate actions to resolve issues.
  • Monitor all active projects and construction in Merrick/Craig Halls and verify resolution of problems and completion of projects.
  • Manage the physical inventory of equipment and physical resources in accordance with policies and regulations of the University.
  • Serve as a liaison between the WDCOBE, the Property Management Department, and University Facilities.
  • Coordinate quarterly meetings between WDCOBE Deans and University facilities.



Required Competency Information/Records Administration
Duties
Information and records administration involves implementing policies and procedures to capture, access, distribute, store, secure, and ensure disposition of an organization's records and information.

  • Develop and distribute surveys and other data collection techniques to gather information about the resources needs of WDCOBE.
  • Compile and analyze information about the buildings and other physical resources.
  • Prepare, edit, and finalize reports about human resource recruiting practices and physical resource utilization.
  • Manage and protect sensitive and confidential data, information, reports.
  • Communicate information about resources, projects, and hiring to meet the needs of internal and external constituents.
  • Attend meetings with Human Resources, Property Management, University Facilities, Campus Enterprises, Environmental Health & Safety, Parking Services, etc. to share information with WDCOBE administrators, faculty, staff, and students.
  • Maintain WDCOBE organization charts and employee directories.



Required Competency Operations Management
Duties
Operations management involves the ability to ensure compliance with policies and procedures. It also involves advising the Dean and staff about potential implications for a course of action.

  • Coordinate communication and resource related interactions among administrators, other programs and divisions, and various groups such as students, staff members, faculty members, Trustees, and community groups.
  • Recommend and implement actions that support strategic plans and effective operations.
  • Support WDCOBE special events and projects including communications, space reservations, preparations, execution, and post-event operations.
  • Coordinate logistics on conferences, workshops, and events (invitations, mailing, brochures, budgeting, etc.)
  • Oversee and execute routine functions such as route incoming mail, answer telephones, relay messages, screen and route calls/visitors, address questions, etc.
  • Assist with a variety of special projects. Monitor progress of assigned projects; maintain schedules
  • Maintain general operational efficiency and perform related activities as assigned by the Deans of the Deese College of Business and Economics.
