Job Summary

Coordinates and manages the day-to-day operations and activities, by serving as the liaison between the critical units in Central Advancement (Reserch & Prospect Management, Donor Relations & Stewardship, Gift Services & Data Processing, IT, and Development) and the development/ advancement team within the College of Engineering & Computing. In accordance with established policies, procedures, and protocols, works in collaboration to implement activities in support of strategic fundraising framework including the provision of accurate and updated prospect/donor data, donor research and analysis, implementation and follow-up of stewardship plans, and other related activities.

  • Ensures effective management and coordination of all programmatic meetings, events, vendor relations, and management. Manages all event logistics such as scheduling, budget oversight, pre-event preparation, and post-event evaluation and debriefing. Collaborates with the development/advancement team in securing appropriate resources in support of program development and direction. Liaises with the unit and Central Advancement communications teams to ensure appropriate coverage of events and/or donors.
  • Interacts with various university administrators and staff, and with the university constituents and VIPs. May serve as a liaison between the department and other agencies, departments, and vendors.
  • Manages the input, retrieval, analysis, and communication of prospect/donor data in RE (Raisers Edge) for college. Initiates requests for profiles on individuals and foundations, prospect lists, and specific fundraising initiatives and campaigns. Composes correspondence, reports, forms, and acknowledgment letters, and assists with compiling grant proposals and other written materials and presentations. Consolidates and reconciles records based on donor relationships. Manages and audits all prospect/donor information for the college and development team. Works with Research & Prospect Management in Central Advancement on all research and data points and research needs. Works with Advancement IT to establish and implement the use of new queries and reports. Generates regular and ad-hoc reporting requirements and requests in Advancement databases (Raisers Edge, Tableau, etc.). Coordinates necessary efforts to ensure data quality and integrity for the College. Identifies trends in data and metric analysis.
  • Creates monitoring and tracking mechanisms for required metrics and measurements for fundraising activity. Pulls data for all reporting needs, tracks related activity, and keeps the development team informed. Compiles data and other pertinent information for Dean and Executive Director of Development. Prepares all prospect meeting documents and information such as pre-meeting reports, memorandum, correspondence, and documents. Manages the use of project management software, BASE CAMP, for development/advancement team members. Ensures effective entry, updates, and audits of projects, assignments, and/or related actions or milestones. Share status updates and progress with the team on a regular basis
  • Collaborates with Central Donor Relations & Stewardship to create and implement unit Stewardship Plans. Creates and monitors annual Advancement budget based on annual stewardship and fundraising goals each fiscal year, in collaboration with the Dean and Advancement team. Monitors expenditures on a regular basis to avoid overspending. Keeps unit development/advancement team abreast of abreast of stewardship activities, progress, and any adjustments made as a result of changes, as they occur. Tracks budget for all related events, travel, site visits, stewardship gifts, and conferences. Ensures compliance with existing Gift Agreements.
  • Review and analyze existing scholarship and endowment databases. Analyzes fund balances, pledge payment information, fund balances, matching gifts, and scholarship allocations. Makes recommendations to the development/advancement team of next steps based on analysis and findings. Manages donated funds in the forms of checks, stocks, and other negotiable securities. Ensures compliance with University and State of Florida statutes, guidelines, policies, and procedures associated with budget and procurement.
  • Facilitates effective and efficient documentation of prospect management process (matrix and portfolio movement for unit fundraisers). Collaborates with unit fundraisers on vetted prospects and removal of prospects no longer considered viable and with updating of portfolios, by Advancement protocols.
  • Manages the coordination of all development/advancement team travel. Facilitates reimbursement of incurred expenses, and initiates transfer of funds to appropriate accounts for use. Serves as the Pro-card Approver for departmental transactions. Assures compliance and adherence to university credit card policies and procedures.
  • Handles confidential records/information regarding gifts and donors and reports for use by the Development team.
  • Creates/maintains new project accounts and IDs in the foundation. Monitors and ensures the accuracy of current accounts.
Minimum Qualifications

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.
