The Program Coordinator will support the UCSF Center for Health Equity in Surgery and Anesthesia (CHESA) with a wide range of Center programming and operations with internal and external stakeholders.

At the direction of the CHESA fellowship co-directors and Deputy Director, they will primarily provide administrative, logistical and programmatic support to the CHESA Global Health Equity Fellowship program which leverages UCSF resources and expertise to foster the next generation of global surgery and anesthesia leaders by enhancing education, research, advocacy skills and clinical capacity. CHESA Fellows benefit from a proven model that emphasizes robust initial support and training, network building, and long-term mentoring. Open to physicians, nurses, and advanced practice providers from UCSF and institutions worldwide, the program is flexibly designed to accommodate remote and hybrid participation for busy clinicians serving the most vulnerable communities.

The Program Coordinator will schedule and coordinate fellowship education sessions for fellows featuring UCSF faculty, CHESA members and partners from around the globe. In this role, they will coordinate and provide support in identifying and confirming speakers, curating and sharing background material and agendas, circulating Zoom links, and documenting and archiving minutes, slides and video recordings. The Coordinator will curate educational resources for fellows, support fellowship recruitment and selection processes by preparing, organizing and reviewing application materials, and organize logistics and meeting materials for the in-person, international retreat. They will track grant budget expenditures and assist in facilitating funding support to fellows. At the direction of the Deputy Director and UCSF Finance and Supply Chain colleagues, they will draft sections of scopes of work and ensure all agreement paperwork is complete and submitted to supply chain management, monitor invoices and payments, and support with contract amendments. They will support fellows' conference travel and visits to UCSF, including booking travel reservations, submitting requests for travel advances, reconciling travel advances, processing expense reimbursements, and coordinating meetings and schedules for visiting fellows.

The Program Coordinator will disseminate program and fellowship evaluation tools and follow up with fellows and alumni on survey requests and project update reports. They will draft sections of abstracts, concept notes, proposals and donor reports, and support logistics and preparation for donor meetings. Regarding overall support to the Center, the Program Coordinator will gather relevant news, opportunities, and developments for the monthly CHESA newsletter, social media and website updates. The Program Coordinator will check CHESA email accounts and maintain project files, databases and member lists.

At the direction of the CHESA Director and Deputy Director, the Program Coordinator will organize logistics for CHESA events including hybrid and virtual monthly Work-in-Progress meetings, Grand Rounds, leadership meetings, and social events. They will prepare background materials and agendas, flyers, Zoom links, and document notes, slides and video recordings and support on-site logistical preparations before, during and after events. They will also coordinate CHESA partner visits to UCSF, including booking travel reservations, submitting requests for travel advances, reconciling travel advances, processing expense reimbursements, and coordinating
meetings and schedules for international visitors.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

As a hub at UCSF for faculty, staff, trainees, and partners working to increase equity in perioperative care globally, CHESA engages multidisciplinary stakeholders across disciplines in health and population health to enhance individual and collective impact.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • 1+ years of professional office experience or related experience
  • Working knowledge of common organization- or research-specific and other computer application programs, such as Zoom, Google Suite and project management platforms
  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing
  • Proficient in ability to use discretion and maintain all confidentiality
  • Demonstrates ability to use sound judgment in responding to issues and concerns.
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.
  • Proficient in ability to multi-task with demanding timeframes.

Preferred Qualifications


  • Masters Degree in relevant area and / or equivalent experience / training
  • Experience with Moodle, Articulate, Wordpress, Adobe InDesign, Adobe Photoshop, Adobe Illustrator, and/or Canva.
  • Foreign language proficiency, preferably Spanish or French
