The Department of Physics in the College of Science is seeking a qualified candidate to fill the position of Student Services Administration Professional I to work as Graduate Coordinator in the Graduate Academic Support Office and to provide other faculty and student support.

Duties & Responsibilities |
Physics Graduate Coordinator Major Responsibilities: 1) General communications: email, Zoom, face-to-face. First point of contact for most Physics Department Graduate Program administrative inquiries from students, faculty, department and university staff, and the public. 2) Recruiting and admissions: Communicating and explaining the applications and admissions policies and procedures to prospective and newly admitted students. Creating and using promotional information and events to bring students to the program. Making and tracking travel, activity, and catering arrangements for recruitment weekend. Implementing use of recruiting tools. Tracking and updating admissions information using GradApp online module, UAccess Analytics, and Excel Spreadsheets. 3) New Grad Orientation: Organizing the orientation event, including contacting presenters, producing the agenda and schedule of important dates (such as TA training dates), and arranging the refreshments. Tracking and updating GA office locations, mailboxes, keys, building access, email listserve and other new student requirements. 4) Advising: Conferring with, and advising students, staff, and others to provide technical advice, problem solving assistance, answers to questions, and program goal/policy interpretation related to the Physics Graduate Program. Examples: Advising and problem solving with students on GradPath, UAccess Student and the Physics Grad Handbook. 5) Hiring Graduate Assistants/Associates: Comprehensive understanding of UAccess Employee Manager Self Service Online Forms for Employment and Job, Position, and Exception Modules. Administrating and problem solving international student requirements (eg: visas, English requirements, financial support letters). Tracking GA job activity and completing changes for semi-annual employment rollover process. 6) Organizing and preparing reports for faculty, students, outside organizations (APA, NIH/NSF), other university agencies (Grad College, Workforce Systems, etc.) 7) Financial and budget tracking. a. Enter awards and track fellowship/scholarship accounts use. b. Track and report travel reimbursement for recruited students. c. Collect and report GA information on FTEs to coordinate with temp teaching budget. d. Plan, track and report expenditures for recruitment weekend, grad orientation, and other events, ensuring event stays within budget. 8) Data curation and maintenance. a. Collect and enter student data into MS Access or Excel databases. b. Design, maintain and create reports from databases. c. Create reports from UAccess Analytics, GradApp, and MS Access. d. Organize and store documents and files for current grad students and grad archives. e. Track student academic progress and generate reports. 9) Supervision: Supervise student workers in office assistant activities and event planning/prep. 10) Academic Support: Provide support to faculty and students for academic needs including assignment and exam copying, overseeing Physics consultation room, department tutor list and other needs. |
Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through experience required.
- 1 year of relevant work experience required.
