Private Wealth Management Asset & Wealth Management - Southeast Region Head Administrative Assistant Job Summary & Responsibilities:
- Support Southeast Region Head for Private Wealth Management in the US, provide administrative support in complex team environment.
- Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics.
- Handles highly confidential and sensitive information.
- Manages a high volume of phone calls and interacts with high-level business leaders and clients in a professional and effective manner.
- Coordinates logistics for PWM client calls, ad hoc and recurring MD meetings; including aligning schedules, teleconference rooms and managing calendar conflicts on an ongoing basis.
- Coordinates a high volume of domestic and international travel arrangements and processes expense reports in timely manner.
- Prepares and distributes correspondence, agendas, letters, reports or other documents as requested.
- Supports the onboarding of new hires, processes new employees, transfers, termination, within region.
- Maintains understanding of firm policies and can handle certain issues independently.
- Organizes and ships materials to clients as needed. Responds and follows up on client requests.
- Orders office supplies & inventory as requested.
- Works with conference and catering services for client engagements as needed.
- Responsible for participation in general Atlanta office administrative duties, ad-hoc projects, or group events
Qualifications:
- Experience supporting high level executives in a complex environment.
- Ability to exercise good judgment and discretion in dealing with confidential material or handling highly sensitive information.
- Demonstrates high degree of integrity and confidentiality.
- Requires excellent interpersonal and communication skills.
- Extreme attention to detail.
- Ability to solve problems quickly and efficiently.
- Strong knowledge of general business and corporate culture.
- Quick learner and self-starter with excellent anticipation skills; problem solving; follow up.
- Strong organizational skills and ability to prioritize tasks.
- Comfortable working with people at all organizational levels
- Strong proficiency in MS Word, Excel, PowerPoint and Outlook is required
- Familiar with expense platforms such as SAP Concur
- Team player with a positive attitude.
- Prefer 3+ years of experience.
Candidate must be located onsite in Atlanta office. alary Range The expected base salary for this Atlanta, GA, United States-based position is $65000-$95,000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
