Summary of Position



The Assistant Director of Music Preparatory Division within the Boyer College of Music and Dance supports the Director of the Music Preparatory on day-to-day operations and in serving in oversight for all department instruction, events, and printed materials. Responsibilities include processing all payroll for Instructors and student workers. Coordinates and ensures that maintenance of Music Prep department instruments are completed. Purchases office supplies as needed. Schedules rooms and facility needs for instruction, practice/rehearsal time, and events and shares these determinations with appropriate faculty and/or office staff. Acts as author for Marketing and Communication (including e-media) person for Music Prep events and performances (in collaboration with Director). Duties include working with graphic designers--creating and providing text for all Prep concert programs and recruiting materials.

The Assistant Director updates department web pages in coordination with Boyer Director of Marketing and Communications, and Boyer College Director of IT. Updates department database, as needed. Alerts Director of inaccurate or missing data, and any updates that are necessary to best maintain records and needs of the department. By its nature, Music Prep administration works collaboratively to benefit students, serve community outreach on behalf of the Boyer College of Music and Dance. The Assistant Director collaborates with the Director to ensure access to the community, equity in program implementation, and excellence in all areas of service and instruction across Music Prep's programming. Performs other duties as assigned.

A value of sharing arts with the community and non-credit constituents will be essential. A sense of nonprofit arts organizations and recognition of mission toward delivering services distinguishes this and all Music Prep staff.

Essential Functions of Position



* Oversees day-to-day office activities to ensure complete and effective scheduling of staff and student workers; trains all student workers in office procedures and oversees their overall work in office. Orders office supplies as needed (via Tumarketplace system). Assists with registration process for noncredit students, including the processing of noncredit OWL cards.

* Oversees Department marketing and communicating department news via email, social media, and appropriate TU Departments. Creates and prepares promotional materials (in conjunction with Director) including digital media.

* Facility Needs -coordinates maintenance with and requests room needs (via TU 25 Live system) from TUCC facilities manager. Schedules teacher/studio placement and maintains room schedules. Makes use of TU 25 Live to record room utilization.

* Plans and oversees logistics for concerts, recitals, and other events, both on campus and in in external venues. Collects information and prepares programs for all performances. Coordinates staff for Concerts, Festival Performances, and Recitals.

* Updates Music Prep website/page in conjunction with Music Prep Director and Boyer College Director of Marketing and Communications- Produces newsletters, flyers, and advertising; proofreads materials; collaborates with designers and printing vendors. Prepares and submits marketing information to TU Calendar and external sources, as appropriate.

* Serves as timekeeper for 60-70 part-time faculty and Music Prep staff. Submits/verifies/approves part-time faculty and staff entries in TU Kronos system.

* Assists Director with curriculum planning, developing class/lesson schedules and dates collaboratively with Director and Registrar. Communicates with faculty and other key staff as to room scheduling and any variations to class/ensemble schedules as they come up.

* Coordinates maintenance and tuning of 29 pianos and 13 electronic pianos with Boyer College piano technician.

* Tracks and retains records of donors and contributions to the Music Preparatory in conjunction with Temple Institutional Advancement. Forwards contributed checks to TU Institutional Advancement office. Prepares department specific donor acknowledgements.

* Works with Music Prep Director and staff to ensure that Music Prep, as a noncredit and community outreach department of the Boyer College and Temple University, maintains a customer/client service environment.

* Works with Music Prep Director and other Boyer College staff to comply with TU policies and procedures making accurate and efficient use of prescribed TU systems

* Performs other duties as assigned.

C. Required Education & Experience:



Bachelor of Music, Music Ed, or relevant field and at least two years of directly related experience. Must have experience in arts organization management. Experience with web page maintenance and best practices in managing web information is desired. An equivalent combination of education and experience may be considered.

Preferred:

*Experience in community music school, arts administration, or comparable field.

*Demonstrated understanding of classical and jazz music (and music education).
