Overview:

We are seeking a User Assistant who will support the User Program Office in the Neutron Scattering Division at Oak Ridge National Laboratory (ORNL). To learn more about Neutron Sciences at ORNL go to: http://neutrons.ornl.gov.

The successful candidate, under general supervision, will perform a variety of user assistant functions associated with site and facility access, records and proposal management, training, data collection and management, and local area orientation as part of user services for the Neutron Sciences User Office. This position will interact with and serve a large volume and diversified group of residents and visiting scientists. Additionally , this position will represent the Neutron Sciences Directorate and ORNL with a high degree of professionalism and excellent customer service.

Major Duties/Responsibilities:

  • Provide onboarding support functions for researchers (users) visiting the Spallation Neutron Source (SNS) and HighFlux Isotope Reactor (HFIR) performing neutron scattering experiments.

  • Prepare and process electronic records for users using ORNL systems with minimal errors. Track user information, submit site access requests, and oversee user training.

  • Anticipate and Inform users in site access protocols and training requirements. Receive and fully complete incoming requests from users in a responsive and courteous manner. Initiate queries to obtain, verify, and exchange information.

  • Troubleshoot user issues and questions independently estions or escalate to the subject matter expects.. Fully resolve all escalated issues. Interpret requests, implement actions, and ensure information is furnished to the respected parties within a timely manner

  • Build and effectively service working relationships with internal and external customers and contacts.

  • Assume responsibility for understanding and following policies and procedures related to performing user support functions.

  • Provide in person check in and brief on site orientation for arriving users.

  • Maintain a professional and courteous manner while interacting with users via all telephone, electronic communications , and in person interactions

  • Compile data, populate spreadsheets, sythasize and prepare reports and presentation materials as assigned.

  • Manage multiple tasks in limited time while working in a fast-paced environment.

  • Establish priorities appropriately, anticipate needs and requests, and meet changing deadlines. Maintain DOE directives/standards and training requirements.

  • Perform tasks associated with special events and projects to support the mission of the Neutron Sciences Directorate.

  • Ensure compliance with environment, safety, health, and quality program requirements. Complete required training in a timely manner.

  • Maintain strong commitment to the implementation and perpetuation of values and ethics.

Basic Qualifications:

  • A high school diploma and a minimum of 5 years of relevant experience

  • Thorough working knowledge of administrative practices

  • Proficiency in Microsoft Office including PowerPoint, Excel, and Word

  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs

  • Proven interpersonal relations and communications skills

  • Experience working with a diverse group of people who have a wide range of technical backgrounds

Preferred Qualifications:

  • Associates Degree in Business Administration or Office Management or related field

  • Experience with ORNL systems such as SAP, PAS, and SuccessFactors Learning

  • Excellent written and oral communication skills

  • Prior experience in a user research facility

Special Requirements:

  • Export control, no clearance:This position requires access to technology that is subject to export control requirements. Successful candidates must be qualified for such access without an export control license.
