We're seeking a Traffic Coordinator who thrives in fast-paced environments that demand creativity, flexibility, organization, and collaboration.

The HBC traffic coordinator role is responsible for helping execute Hallmark Business Connections (HBC) product and marketing Creative services through dynamic project scheduling, task completion tracking, talent capacity coordination, demand forecasting, and other traffic duties as assigned. This role connects daily with HBC Creative along with other HBC Sales, Marketing, and Operations teams to assure that projects are progressing as needed in a timely manner to support program dates via delivery of high-quality product images and editorial, print production files, digital assets, product upload spreadsheets, and related components. This position assures the development of schedules that reflect the correct processes and steps required per project type by each team member.



  • Understands, develops and communicates holistic planning and forecasting using internal and external Creative resources.
  • Responsible for using Creative resource software to intake projects, allocate resources, assign and track task completion, and for pulling reports to aid leadership in managing HBC Creative studio operations.
  • Keeps current on resource talent pool workload to aid in providing capacity management and recommendations.
  • Ensures resources are tracking and reporting data to enable accurate reporting and analysis.
  • Partners with Creative Director(s) and cross-functional team leaders to define milestones and key dates for on-time execution.
  • Oversees workflow management tool / Freelance Management System (as it evolves).
  • Proactively identifies opportunities for trade-offs or reprioritization.
  • Develops detailed creative process schedules with key dates and milestones for the steps/tasks within the work process in direct alignment with milestones as provided by the HBC Client and Marketings teams.
  • Monitors, triages, and expedites to key dates within the work process.
  • Proactively identifies issues, resolves roadblocks, and communicates watchouts.
  • Flags and helps resolve roadblocks.


BASIC QUALIFICATIONS

The following is required to be considered for this role:



  • 2+ years project coordination experience
  • Experience working in Microsoft Excel


PREFERRED QUALIFICATIONS

  • 2+ years' experience trafficking creative talent and tasks by project to meet deadlines in a fast-paced studio.
  • Highly proficient in Microsoft Excel.
  • Knowledge of creative resource planning software like Workamajig.
  • Knowledge of Hallmark resources and contacts.
