Position Highlights This person will coordinate a graduate program comprised of three degree programs: PhD, Master's, and Accelerated Master's. This person will serve as the liaison between the graduate students and the graduate college and will serve as the administrative point person for faculty who work with graduate students. This position provides administrative support for the director of graduate studies and department head. The position is responsible for seeing students through the pre-application/recruitment stage, application stage, and their tenure as graduate students. Tasks include responding to graduate student inquiries and the processing of financial aid and scholarships, graduate applications, and official paperwork to verify graduate student milestones. In addition to the aforementioned responsibilities the person in this position will perform administrative support tasks for the department such as uploading data onto the Faculty Portfolio (formerly, UA Vitae) system used for faculty annual performance reviews and assembling promotion the tenure dossiers. This person will work alongside other academic staff to ensure all programs operate appropriately.

Duties & Responsibilities

Curriculum and Enrollment Coordination

  • Oversee the day to day operations of the graduate program.
  • Initiate the TA/RA assignment contracts and performance evaluations.
  • Initiates the award process for GTS/Fellowships/Placeholders.
  • Maintain and update the schedule of classes for undergraduate and graduate courses across all modalities and semesters.
  • Is responsible for submitting new courses, changes, and course deletions for undergraduate and graduate programs.
  • Support the submission of proposals for new majors, minors, certificates.
  • Monitor class enrollments, SCH, majors and work with Manager of Academic Programs on temp teach teaching budget, and teaching assignments.
  • Coordinate graduate student admission process to include processing applications, communication with applicants, admission letters, GradApp system management.
  • Perform administrative tasks related to the daily operation of the programs including maintaining student departmental files, course syllabi, teacher course evaluations, change of grad forms, annual reviews of each graduate student, annual program assessment, etc.
  • Coordinate written and oral comprehensive exams and PhD defenses.

Administrative Support

  • Support director of Undergraduate and Graduate studies and Undergraduate Studies Curriculum Committees.
  • Collaborate with and assist department personnel on logistics for events, committee meetings, orientations, speaker visits, and retreats.
  • Assist the Manger, Academic Programs with additional projects.
  • Provide information and content to program materials.
  • Other duties as assigned.

Faculty Affairs

  • Coordinate Promotion and Tenure process.
  • Coordinate sabbatical and leaves.
  • Assist with Annual performance reviews and Faculty Portfolio (formerly, UA Vitae).
  • Assist with reporting including Academic Program Review/Accreditation.
  • Coordinate Faculty awards, orientations, recruitment, etc.
Minimum Qualifications
  • Minimum of 3 years of relevant work experience.
  • Bachelor's degree, or equivalent advanced learning attained through professional level experience required.

Preferred Qualifications

  • UAcess Experience.
  • Experience w/ P&T process, faculty affairs, Faculty Portfolio (formerly UA Vitae) and University scholarships.
