Job Description

The Senior Business Support Specialist provides comprehensive support to the Department Chair(s), Director(s), Endowed Professors, Scheduling Teams, Advising Coordinators and Business Manager in the administration of business and fiscal operations for the departments within the MCPEC Center (Mathematics and Statistics, Criminology and Criminal Justice, Political Science and Public Policy Administration Program, Economics, and Computer Science). Position reports to the Business Manager for the college.

This role involves managing complex data analysis, overseeing projections of monthly fiscal reports (Financial, Grants and Payroll) ensuring all departments within the Center are good stewards of university funds. Advising department chairs (when appropriate) on financial operations, hiring decisions, improvement to department operations, new approaches and policies.

Ensures an overall smooth operational process for the Center and oversees budgets to ensure spending is within policy and procedures. The Specialist is also responsible for mentoring team members and overseeing fiscal and HR transactions.

Job Description:

  • Assists Department Chair(s) and Business Manager in business and fiscal administration for the departments; Researches and analyzes atypical/complex data and prepares reports (e.g., budget, revenue), noting key issues and patterns in the data.
  • Performs a variety of independent, specialized business support duties for the assigned departments; Executes, documents and reports on business and fiscal operations.
  • Oversees scholarship utilization for the Center, consulting with Student Financial Aid and departments as needed, Reports on utilization to Deans and Business Manager.
  • Oversees Non-credit Chancellor certificate programs for Public Policy during Fall and Spring semesters.
  • Oversees and/or performs a range of diverse administrative activities and serving as a central liaison in the resolution of a variety of day-to-day matters concerning the departments.
  • Impacts the quality, timeliness, and effectiveness of the team and/or the Center's work through planning, organization, and coordination.
  • Mentors team members, plans and delivers training to team either in groups or one-on-one.
  • Function as key resource within Center on budget related issues. Identifies risks and opportunities and develops strategies to reduce the impact of risks. Ensure deadlines are met and paycheck data is reviewed in a timely manner.
  • Guides purchasing for the departments, ensuring adherence to budget, spending guidelines and other policy and procedural considerations are met.
  • Independently solves routine and complex problems and identifies new, less obvious solutions, ensuring team integrates with others to accomplish area objectives and using discretion to modify work practices and processes to achieve results or improve efficiency.
  • Assist business manager in business and fiscal administration for departments providing insight of current needs and projections of future key issues. Research and assist with questions related to faculty employment history.
  • Assist chairs when necessary, preparing documents for Adjunct, NTT, and TT job postings. Listed as interested party for all jobs within Center in eRecruit to monitor hiring process.
  • Liaison between departments within Center and Stripes Shared Services and IT.
  • Prepares and performs fiscal and HR transactions, CEs, turnarounds, JED changes, PCEs, and consults with business manager on BCMs.
  • Initiates payroll/personnel and transactions through STRIPES for part-time employees (student, direct hire, and adjuncts).
  • Assist chairs with running Cognos Reports and Survey Intelligence Reports.
  • Completes annual inventory for departments.
  • Supervises three team members (Office Support III, Business Support I, and Business Support II).
  • Possess knowledge of UM Collected Rules and Regulations and investigates related questions
  • Assists Business Manager with complex special projects as needed.Other duties as assigned.

8am-5pm; M-F; 40 hours

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

Pay commensurate with education and experience.
Hiring Range: $18.50-$26.34 per hour
