The Office of Enrollment Management is charged with leading all aspects of the enrollment process and fostering a welcoming environment that supports students from the point of recruitment all the way through Commencement. Focused on recruiting and enrolling an academically and artistically talented class, the Office of Undergraduate Admission is seeking a Senior Associate Director of Admission Events to join a dynamic and growing team. Under the direction of the Interim Associate Vice Provost/Associate Dean of Admission and in collaboration with the Enrollment Strategic Communications department, you will provide leadership for the planning, management, execution and evaluation for all prospective student events.

As a Senior Associate Director, you will take ownership for all aspects of event planning to facilitate meaningful interactions between prospective students and Carnegie Mellon community members. Through close partnership with the Enrollment Strategic Communications team, you'll ensure that all events and related communications reflect the university mission and brand. You will develop new and creative approaches to events/functions and track and analyze data to determine effectiveness in meeting recruitment and enrollment goals. Utilizing reporting and customer relationship management tools including Slate, you'll identify, implement and document improvements to processes, procedures, and systems in support of successful outreach and recruitment events in alignment with university and office priorities and expectations.

The Senior Associate Director will regularly collaborate with Enrollment Management departments and other campus partners, including but not limited to Enrollment Strategic Communications, the Coulter Welcome Center, Enrollment Strategic Initiatives, Enrollment Operations & Strategy, college representatives, Student Affairs and University Advancement. We are looking for someone who will demonstrate positive relationship building skills, an outgoing and enthusiastic approach, excellent communication and a keen attention to detail. Flexibility and the ability to adapt quickly to changing priorities will be key to success in this role.

The Senior Associate Director of Admission Events position is a full-time, Pittsburgh based position starting fall 2024. Flexibility for hybrid work is offered and subject to change based on university leadership.

Core responsibilities include:

  • Oversee all aspects of event planning, coordination, logistics, and implementation of on-campus events geared towards prospective undergraduate students, families, and high school counselors
  • Analyze data and evaluate effectiveness of recruitment events, implementing improvements as identified
  • Lead collaboration among event partners including, but not limited to Undergraduate Admission, Enrollment Strategic Communications and the Coulter Welcome Center
  • Function as a key decision-maker to deliver events consistent with the university brand and collaborate with Enrollment Strategic Communications to promote effective messaging for the prospective student audience
  • Document standard business processes and routine procedures to provide necessary training for admission and enrollment staff
  • Apply policies, procedures, and regulations to ensure consistent administration and compliance
  • Attend and prepare for required weekly and seasonal planning meetings
  • Assist with event organizing across the Enrollment Management division as needed

Qualifications:

  • Bachelor's degree
  • Minimum 5 years of related experience with event planning and coordination; knowledge of and experience working with events planning, events management, catering, food and beverage management, hospitality management, communications and/or marketing is preferred
  • Equivalent combination of education and experience can be considered
  • Excellent interpersonal, customer relation and conflict-resolution skills
  • Proficiency and comfort with technology; experience with Slate CRM highly desired
  • Data analysis, attention to detail and organizational skills required

Requirements:

  • Successful background check
  • Child Protection Clearances required by Pennsylvania Act 153
  • Valid driver's license
