Position Highlights:

  • Position: Front Desk Spa Coordinator
  • Location: Seven Bridges Fitness Center - Woodridge
  • Part Time
  • Hours:Wednesdays 2:00pm-7:00pm

What you will need:

  • Requires a High School diploma or equivalent plus one to two years of previous customer service work experience and one to three months on-the-job training.
  • Current CPR Certification issued by either American Heart Association or Red Cross required within 90 days of employment.

What you will do:

  • Provides excellent customer service to spa clients and responds professionally to meet their needs.
  • Answers telephone calls, takes and relays messages, answering questions regarding services and programs offered, registers callers for same, and forwards difficult and/or sensitive questions to appropriate personnel.
  • Schedules client appointments, maintains waiting list, and enters related information into computerized tracking system. Prepares client payment cards and enters barcode in computer. Contacts computer system vendor in order to report system problems.
  • Registers members and guests for various spa services, receives payments for same, prepares receipt, and updates tracking system. Prepares gift certificates and gift baskets as required.
  • Completes client spa package menu, places order 24 to 48 hours prior to appointment and receives and serves meals (includes necessary cleanup).
  • Sells retail spa products to clients. Meet/exceed sales goals. Acquires knowledge of spa products.
  • Attends mandatory meetings, seminars, classes, and workshops as required.
  • Orders and verifies receipt of retail products, prices and performs monthly inventory of products.
  • Performs daily bank reconciliation by processing daily cash receipts and deposits money according to established procedures.
  • Establishes filing system and maintains files of various materials such as client meal menus, intake forms, retail sales logs, daily treatment logs, inventory information, correspondence, class attendance and spa staff continuing education information and the like.
  • Maintains proper levels of office supplies, refreshments, postage, etc. Orders replacement supplies as necessary, verifies correct merchandise has been delivered, and distributes supplies to spa areas as requested. Keeps reception area clean and well stocked with spa brochures/information, and ensures proper levels of retail products are maintained.
  • Performs related clerical duties such as photocopying materials, making arrangements for classes, distributing memoranda, sorting and distributing mail, and the like.
  • Provides coverage for other EHFC coordinators as needed.
  • Keep communication open between all desk personnel and manager so that all will be well informed of all clients, personnel and scheduling activities.
