Position Highlights The SILLC "Dream" Team is searching for qualified applicants for the Faculty Coordinator position. A little about the team: the Business and Academic Support Services team in the School of International Languages, Literatures, and Cultures (SILLC) supports 6 academic units and two Title VI Language Resource Centers in the College of Humanities. The highly regarded SILLC Team provides high quality and efficient support to the heads, directors, faculty, students, and "customers" - both internal and external - while remaining fiscally and ethically responsible. As part of this team, the Faculty Coordinator will be responsible for faculty affairs and payroll support for the School. This position reports to the Manager of Business and Finance.

Duties & Responsibilities

Faculty Affairs Support

  • Assist in recruitments such as drafting and posting job advertisements, coordinate applicant materials, and coordinate interviews. Serve as point of contact for hiring/job changes under HR guidance.
  • Provide guidance to search committee on recruitment policies/guidelines to ensure all aspects of process are fair and unbiased and in compliance with Affirmative Action and Equal Opportunity laws, and serving on committee, as needed.
  • Assist in coordinating faculty annual performance reviews (using UA Vitae) and promotion and tenure. Assist in setting up yearly Annual Performance Review (APR) in put, creating review committee and department head evaluations, and assist in answering questions as needed.
  • Assist with Academic Program Reviews (also APR) as needed.
  • Point of contact for miscellaneous leaves (non-FML, sabbatical, research leaves, etc.) and assist with faculty and staff on-boarding.
  • Submit designated campus colleagues (DCC) requests.
  • Submit miscellaneous payments: supplemental compensations, OPS, moving allowances, related payment requests.

Payroll Support

  • Provide Summer/Winter Sessions support by using Analytics to create spreadsheets of summer/winter classes. Monitor enrollment, monitor class sections added and canceled, assist with salary calculations and entering payment amounts for each class, and moving salary from summer instruction account to on-line instruction
    account if needed.
  • Assist with time coordination - bi-weekly payroll reconciliation including time coordinator communications to supervisors/time approvers.

Student Support

  • Recruit, interview and hire student workers. Create schedule using student's class schedule. Help with student grader hiring.

Other Duties

  • May provide backup support for leave management FML questions, submit new hire transactions and job changes, submit terminations for all employees in SILLC.
  • Maintain emergency contact and SILLC listerv and grid.
  • Keeping informed of, interpreting, and applying pertinent rules, regulations, policies and procedures set forth by University and external agencies.
  • Additional duties as assigned.

  • Highly skilled in being resourceful: finding, interpreting, and applying policies on various matters.
  • Ability to learn software quickly.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience required.
  • Experience in Microsoft Office software such as Word, Excel, Power Point and Outlook.
  • Experience cloud-based software like Google Drive/Docs/Sheets/Slides, Box, etc.
  • Experience in communication tools such as Teams and Zoom.
Preferred Qualifications

  • Previous experience working in Higher Education.
  • Experience working with a diverse group of faculty, staff, and students.
  • Experience working with PeopleSoft/UAccess Employee.
  • Experience working with Talent.
