Job Summary

This is a key administrative role responsible for overseeing the operational aspects of the Office of Student Affairs and Career Planning (OSACC) and special events programming at SKMC. The Educational Business Manager will ensure the smooth functioning of the office and its operations, enabling the delivery of high-quality services and programs to the SKMC student body.

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson. (Do not delete, move or over-write this statement)

Office Management:

  • Manage and provide leadership to OSACC staff, fostering a collaborative and supportive work environment and ensuring equitable distribution of work.
  • Oversee and manage daily activities of office staff, ensuring tasks are completed efficiently and accurately.
  • Conduct performance evaluations, provide professional development opportunities, and address personnel issues.
  • Lead recruitment process for new hires, including coordinating with Human Resources.
  • Perform various administrative tasks such as filing, data entry, and maintaining confidential student records, ensuring compliance with institutional policies and regulations.

Special Event Planning:

  • Lead the planning and execution of special events, including but not limited to, orientation programming, White Coat Ceremony, Match Day, Commencement activities, and student awards ceremonies.
  • Develop event timelines, budgets, and detailed plans to ensure successful events.

Student Support/Student Programming:

  • Provide assistance and support to students addressing their inquiries, concerns, and needs in a timely and compassionate manner.
  • Liaison with faculty, student leaders, and OSACC staff for various campus-based organizations, to develop programming, assist with maintenance of budgets, provide reimbursements, evaluate the effectiveness of student programs, and make recommendations for improvements.

Budget Management:

  • Develop the annual budget for the Student Affairs Office and other offices, aligning financial planning with the officersquo;s and universityrsquo;s strategic goals.
  • Monitor expenditures throughout the fiscal year, ensuring spending aligns with budgetary constraints.
  • Negotiate contracts with external vendors.

Administrative Support to Vice Dean/Senior Vice Provost of Student Affairs:

  • Manage Vice Dean/Senior Vice Provost of Student Affairsrsquo; calendar, including scheduling and coordinating appointments, meetings, and events.
  • Assist in coordination and preparation of meeting agendas, materials, and minutes, ensuring follow- up on action items and maintenance of organized records.

Competencies (Knowledge, Skills, and Abilities Required):

  • Strong leadership and interpersonal skills, with the ability to manage and motivate a diverse team.
  • Excellent organizational and project management skills, with a demonstrated ability to handle multiple priorities and deadlines.
  • Knowledge of budget management and financial reporting.
  • Experience in event planning and program development.
  • Strong communication skills, both written and verbal.
