The Vendor Services Manager will function as a liaison between the operating department and the vendor to facilitate all phases of the contract performance. The manager will prepare work plans and summary reports ensuring all components of the required scope are met.
Job Description

  • Assists in the preparation and processing of contracts as well as serving as the main point of contact for vendors and other departmental staff on matters related to contract development and processing.


  • Coordinates contractual performance functions within an operating department, working with and advising departmental staff on vendor procedures and requirements outlined in the contract.
  • Support the Division of Financial Operations with vendor management and assist with contract performance functions.
  • Monitors contracts for compliance with contract terms and conditions, addresses and resolves any contract problems.
  • Presents revenue generating proposals to external vendors with commission-based contracts [e.g., vending, ATM, food [cafeteria], etc.] that will contain operational information to support a partnership with the university to receive royalties or commission payment.
  • Researches and compares similar universities for opportunities to expand non-appropriate funding opportunities.
  • Creates, develops and analyzes performance reports as it pertains to commission-based contracts. For example, for Pepsi and Canteen pull reports on volume usage, review and approve received commission payments for accuracy, etc.
  • Performs or directs lower-level staff in monitoring contract expiration dates and preparing and processing contract modification forms for needed time extensions, vendor limit increases and price adjustments.
  • Reviews "Transition-Out" provisions of contracts to verify adherence to procedures and requirements, prior to a contract's termination or expiration.
  • Oversees the maintenance of contract records and files and prepares reports on the status of departmental contracts, expenditures, and related contract information.

Minimum Qualifications
  1. Any one or combination totaling three (3) years (36 months) from the categories below:
    A. Coursework in business management, operations management, business administration, hospitality management, or a closely related field as measured by the following conversion table or its proportional equivalent:

    • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)
    • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)



B. Work experience in vending operations.
2. Two (2) years (24 months) of work experience in the supervision and management of a large
vending operation or directing the operation of a smaller vending unit.
Preferred Qualifications
Work experience in the business development, communication, or procurement of supplies, equipment or services, or an equivalent combination of education, training and experience.
Knowledge, Skills and Abilities

  1. Knowledge of vending operations.
  2. Ability to evaluate operational programs.
  3. Ability to develop and analyze performance reports.
  4. Ability to supervise.
