POSITION SUMMARY:

The Facilities Manager is responsible for the daily operations and maintenance of three office buildings and an equipment warehouse across the Chicagoland area. This person will coordinate and manage maintenance, housekeeping, parking, security activities, and ensure the facilities meet regulatory standards and codes.

MAJOR RESPONSIBILITIES:



  • Coordination and management of regular building maintenance and repairs to ensure all facilities are safe and accessible to employees.
  • Monitor, prepare and carry out emergency protocols and procedures.
  • Prepare and monitor maintenance budgets.
  • Conduct regular building inspections and preventative maintenance for HVAV, chillers, roof, electrical, etc.
  • Manage vendor relationships and contracts for all necessary building services, including but not limited to

    • Elevator, fire protection, HVAC, electrical, plumbing and security services
    • Beverage and food services,
    • Trash, recycling and janitorial services.
    • Outdoor Maintenance and Snow Removal


  • Work with local municipalities to ensure facilities comply with applicable policies, regulations, and building codes.
  • Respond to inquiries and requests from Pepper employees.
  • Manage parking and record retention activities at each building.
  • Perform roof maintenance (including inspection and cleaning of drains and gutters).
  • Oversight of Mail Courier and Building Engineers.
  • Maintain required OSHA and Worker's Compensation safety and accident reports on engineering personnel and facilities.
  • Conduct performance evaluations, set clear performance expectations, and recognize achievements to motivate and retain top talent.
  • Promote a culture of innovation, continuous improvement, and operational excellence throughout the facility organization.
  • Plan, coordinate, and execute facilities projects, including new construction, renovations, expansions, and equipment installations, within established timelines and budgets.
  • Serve as a liaison between office staff and senior management to address operational needs and facilitate communication.
  • Ensure the efficient operation of facility systems including HVAC, electrical, plumbing, and production equipment to minimize downtime.
  • Manage facility improvement projects, from planning and budgeting to execution and completion, to meet manufacturing demands.
  • Develop and manage the budget, including operational expenses, capital expenditures, and maintenance costs.



POSITION REQUIREMENTS:



  • GED or high school diploma.
  • Facility Management Certification
  • At least 10 years of experience as a building manager or in a similar role.
  • Knowledge of relevant laws, regulations, and building codes.
  • Excellent project management and negotiation skills.
  • Good communication and customer service skills.
  • Strong critical thinking and problem-solving skills.
