About the Role:

This role will support Boston Scientific's Electrophysiology (EP) office in Waltham, including its Directors and site leadership team. We are looking for a professional who works under limited supervision with general instructions, able to balance multiple tasks simultaneously, and collaborates well with others. A successful individual needs to be a self-starter, proactive and able to work in a fast-paced environment.

Responsibilities include:



  • Provides support to the Waltham site as needed, including general office duties, inventory of office/shipping/kitchenette supplies, ensuring office is prepared for daily tasks, managing incoming packages and mail, and supporting the execution of site events and meetings.
  • Provides support to Director of Systems of Engineering and Director of Software Engineering, to schedule staff meetings and manage travel and expense reports.
  • Provides high-level access control to the site by monitoring entrances/exits, notifying personnel of visitor arrival, monitoring for the presence of unauthorized persons.
  • Provides high-quality customer service and assistance to employees and visitors in a courteous and professional manner.
  • Assist with team meetings, events, and customer meetings by coordinating meeting rooms, scheduling catering, room configurations, and contributing to assure event success.
  • Assist with outgoing domestic and international shipping requests and preparations.
  • Assist with maintaining common area spaces such as lobbies, meeting rooms, wellness rooms, and the like.
  • Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational information by not disclosing confidential information.
  • Works collaboratively with other support positions in and outside of EP R&D.
  • Viewed as a key functional resource.



What We're Looking For:

Required qualifications:



  • Must be on-site five (5) days per week as support for the site
  • 3+ years of administrative experience
  • Must have excellent organizational and interpersonal skills
  • Proficiency in Microsoft Suite such as Outlook, Teams, Word, Excel, PowerPoint, SharePoint. Bonus if familiar with Kronos and Concur.
  • Comfortable working in a fast-paced, team-focused and evolving work environment
  • Excellent verbal and written communication skills
  • Excellent professional presence and customer service mindset
