JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of Finance, Budget, and Post Award under the Office of the Senior Vice President for Research (OSVPR) is searching for a detail oriented, highly motivated Proposal and Award Generalist (Post Award) to join our team supporting research administration for OSVPR. This postion will be filled at the Intermediate Professional or Advanced Professional level.

This position will report to the Grants and Contracts Manager for OSVPR, supporting all post award functions in a high volume, fast paced, complex, detailed, and multifaceted environment.

Responsibilities: Duties of this position include providing support and expertise to units within OSVPR on post-award matters. The selected individual's job responsibilities will include but are not limited to the following:

  • Perform agreement reviews on new awards
  • Prepare requests for advance fund numbers, fund numbers, cost centers, cost sharing cost centers, and other account set up actions
  • Prepare and submit budget documents for awarded funds, budget adjustments, and account close-out transfers
  • May be responsible for tasks associated with labor distribution and effort confirmation
  • Communications with PI's and departmental staff on a variety of administrative functions that occur between award inception and award closeout
  • Participate in meetings with Office of Sponsored Programs and unit administration concerning Export Control, publication restrictions, and other potential risks; initiate follow up on sign-offs and monitor process
  • Review expenditures for approval; review and approve personnel appointments on sponsored program funds
  • Run system-generated financial reports; manage subawards; prepare and submit monthly/quarterly financial reports
  • Facilitate materials transfer and other agreements; assist Property Inventory with receipt, accountability, and reporting on government owned equipment
  • Serve as an area expert on special award types including multi-unit, interdisciplinary, significant number of subawards, multi-fellowship awards, substantial industry involvement, significant administrative oversight, significant financial tracking and reporting, and multi-site clinical trials or field activities.
  • Resolves issues and implements solutions; initiates process improvements to address systemic roadblocks
  • May supervise staff members, including hiring, development, and performance management

Education and Experience: The minimum qualifications for an Intermediate Professional level are an Associate's degree and 2+ years of experience, or an equivalent combination of education and experience. For an Advanced Professional level, the minimum qualifications are a Bachelor's degree and 3+ years of experience.

Familiarity with advanced Microsoft Word and Excel functions, Strategic Information Systems (SIMS) or any grant management system, grant reporting and budget functions (or similar institutional programs), and award management experience are highly preferred. Requires flexibility and self-management skills, including the ability to prioritize many diverse responsibilities. Must be able to thrive in a fast-paced, multidisciplinary environment.

Exceptional communication (both verbal and written) and interpersonal skills required. Professionally in challenging situations is essential. Successful graduation of the Penn State ACES program or the external equivalent is preferred.

Work Arrangement: This position can operate remotely within the US. Standard work time will be in EST.

The salary range for this position, including all possible grades is:

$51,000.00 - $81,500.00
