Position Summary The IT Administrative Office Coordinator is responsible for providing comprehensive administrative support to the IT department and ensuring smooth vendor management. This role involves managing day-to-day office operations, coordinating IT-related activities, and maintaining productive relationships with external vendors.

Duties and Responsibilities:
- Vendor Relationship & Procurement Management:
- Establish and maintain effective relationships with technology vendors and service providers.
- Manage vendor contracts, including negotiating terms, monitoring performance, and ensuring compliance with service level agreements.
- Coordinate with vendors to procure, install, and maintain IT equipment and services.
- Address and resolve vendor-related issues or discrepancies promptly and professionally.
- Administrative Support:
- Perform general administrative tasks for the IT department, including managing calendars, scheduling meetings, planning special events, and coordinating IT projects.
- Prepare and maintain IT documentation, including inventory records, procedural manuals, and project reports.
- Assist with the onboarding and offboarding processes, ensuring timely allocation and return of IT equipment and access credentials.
- Monitor departmental budgets related to purchasing, providing regular updates to the department head. Assist in preparing financial reports, ensuring all purchasing activities are documented and reconciled.
- Project Coordination:
- Assist in the planning and executing of IT projects, ensuring tasks are completed on schedule and within scope.
- Support the organization and logistics of IT-related events such as training sessions and system updates.
- Supervision:
- Supervise student employees, if applicable
- Regular and Predictable Attendance Required.
- Performs Other Job-Related Duties as Assigned.
Minimum Job Requirements:
Associate's degree in Information Technology, Business Administration, related field, or equivalent work experience.
Knowledge, Skills, and Abilities:
- Previous experience in an administrative support role, preferably within an IT department.
- Strong understanding of IT systems, hardware, and software.
- Exceptional organizational and multitasking abilities with a keen eye for detail.
- Excellent communication and interpersonal skills, with a demonstrated ability to build and manage vendor relationships.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with IT management tools.
- Ability to handle confidential information with discretion.
