Job Title: Executive Secretory/ Senior Executive Assistant

Shift Timings: 8:00 am - 4:30 pm Lunch Period: 30 minutes

Location: Portsmouth, VA 23704

Duration: 6+ months

Job Description:

Purpose of Position:

  • Independently performs a variety of administrative activities in support of an administrative, technical, or professional staff member with district or office-wide responsibilities or office-wide responsibilities that affect field or other work units. Work regularly requires discretion, interpretation of policies, procedures, or processes, and frequent interaction with officials. May guide other staff as an information resource. Conducts research or assembles information and develops summaries in support of another administrative, technical, or professional staff member. May type, file, schedule appointments, make reservations, sort mail and perform reception duties.


Typical Core Duties:

  • Administrative Support:
  • Schedules meetings, presentations, and speaking engagements with internal and external officials and organizations.
  • Prepares agendas for senior management and leadership team meetings.
  • Answers, screens, and directs phone calls and messages.
  • Provides all administrative support duties for assigned supervisor(s).
  • Delivers direction and assistance with coordination of projects to office support staff.


Program Support:

  • Maintains confidentially to support the programs policies and procedures.
  • Completes reports under program metrics and established guidelines.
  • Transcribes confidential reports and associated documents following policies and procedures. Sends out preliminary and final reports.


Records Management:

  • Manages and maintains all information related to work unit or program schedules, files, and requests.
  • Maintains all office records and updates appropriate databases.
  • Receives and ensures correct placement of all program-related materials and updated database.
  • Customer Service
  • Provide appropriate levels of customer service to clients and customers using courteous, friendly, and tactful services.
  • Actively listens to others, uses calm, patient, non-condescending tone, and is solution-orientated.
  • Assures customer needs are addressed on time following all state and district guidelines.


Typical Supervision/Independence of Action:

  • Works independently and prioritizes work to meet deadlines. Seeks supervision when situations are outside routine agency or division business. Keeps appropriate parties informed of any sensitive, political, or controversial matter.


Typical KSAs:

  • Proficiency in M? applications; Word, Excel and Access.
  • Ability to transcribe medical and legal information.
  • Ability to remain professional under all circumstances.
  • Advanced professional administration training and practical.
  • Experience as an Administrative Assistant.
  • Possess robust organizational and record-keeping abilities.
  • Strong ability to communicate effectively, both orally and in writing.
  • Knowledge of State and City policies and procedures.


Preferred Qualifications:

  • High School graduate or equivalent combination of education and experience.
  • Bachelor's Degree in a related field or equivalent experience and/or training in Health Information Management.
