Join the Payroll and Employment Office within our Mines Administrative Processing Services (MAPS) team, where we provide essential payroll and employment services to the vibrant Colorado School of Mines community and our diverse off-campus partners.

In this role, you'll harness your expertise in employment and payroll transactions to streamline processes, lighten administrative loads, and foster a culture of efficiency and innovation.

Primary Responsibilities:

Payroll and Employment Processing

The HR/Payroll system is the system from which all employees at Mines are paid. Within this system, the Technician will:

  • Review for compliance and accuracy and enter all demographic and payroll data for new hires (Classified, faculty and Students).
  • Review and enter all supplemental payroll data.
  • Identify any recording problems that might not be following IRS rules and regulations and communicate these noted issues to Payroll Operations Manager.
  • Note any processes that do not follow the proper segregation of duties or internal control processes. Propose solutions to Payroll Operations Manager.
  • Recommend the appropriate operations and/or take exception to HRS/Banner input procedures to accurately and efficiently record earnings, or resolve payroll adjustment issues. Where the applicable laws, rules, regulations, and policies are numerous and varied, request the specifics of a given situation.
  • Suggest changes in procedures to provide better customer services to the campus.

Audit and Payroll Reconciliations

  • Help reconcile payroll liabilities by using the University's data warehouse and reporting tools.
  • Work with the Employment Lead for any corrections needed and training the MAPS staff.
  • Assist with the Glacier 1042-S tax preparation and audit Glacier records to ensure compliance.
  • Help complete six-month PERA salary reports and complete PERA salary audits.
  • Serve as Admin ll for the Glacier NRA Tax System and make necessary updates and edits to the system at the direction of the Director of Payroll and Employment.

Customer Service Focus

    • Contributes toward a productive, efficient, and effective working environment.
    • Continued process improvement as well as an understanding of transactional processes and systems in order to effectively and successfully move the department forward.
    • Helps develop transactional processes in partnership with functional managers to ensure highly effective services.
    • Ensures the shared services functions meet user requirements and provides services that exceed customer expectations.

Metrics and MAPS Team Dynamix Website Maintenance

  • Develop appropriate and useful measures and metrics to assess and understand department wide service levels, department and individual performance levels, customer satisfaction, and other information necessary to continuously improve the quality and efficiency of service; and
  • Analyze data and information to identify performance levels, service trends, issues and opportunities for process and service level enhancement.
  • System maintenance in TDX to add new forms/instructions as needed
  • Serve as main contact for adding additional service workflows in TDX

Minimum Qualifications

  • Bachelor's degree in a related field. Substitutions for years of experience may be considered on a year for year basis.
  • Two years of experience HR, employment and payroll.
  • Deep understanding and appreciation for automation and the use of technology as an enabler of high-quality services and performance levels.
  • Excellent written and verbal communication skills.
  • Demonstrated focus on customer service and compliance.
  • Experience working on cross-divisional teams working collaboratively and in partnership to transfer knowledge to co-workers.
  • Strong analytical skills and experience and an understanding of how metrics and measures can drive innovation and service level quality.
  • Demonstrated ability to consider implications of complex problems and solutions and taking necessary actions to resolution.

Preferred Qualifications

  • Knowledge of higher education culture, governance, structures and mission

Salary and Benefits

$57,400 - $61,000

Mines takes into consideration a combination of candidate's education, training and experience as well as the position's scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
