Job Title: Executive Assistant/ Senior Administrative assistant (Legal/ Paralegal)

Work location: Providence RI 02903

Pay rate: $25.00/hr on W2 without benefits

Duration: 6+ Months(possible extension)

Hours/Week: 35.00/hr.

Shift timings: 8 AM to 4 PM

Required Skills:

  • Legal/ Paralegal Experience
  • Administrative experience (5 years)
  • Scheduling
  • Records keeping


Preferred skills:

  • Background in the energy sector or a governmental environment.



Role & Responsibilities:

Rebate Programs Documentation & Reporting :

  • Process applicant and account source documents by reviewing data for deficiencies.
  • Verify data accuracy.
  • Collect and transfer data from online portal format to program spreadsheet.
  • Establish databases and other data management tools to effectively track project status, impact, and cost.
  • Analyze and organize data for inclusion in quarterly/annual reports, websites, presentations, and other communications.
  • Engages with applicants and assists with basic rebate and application questions.


Project Management :

  • Schedule and attend regular project team meetings.
  • Take meeting minutes for each meeting.
  • Facilitate project discussions and ensure project implementation proceeds smoothly.
  • Troubleshoot, alongside OER team, any issues encountered during project execution.



Support & Coordination :

  • Prepare and update weekly legislative tracker
  • Prepare and update federal grant tracker
  • Draft letters for RI House and Senate committee hearings
  • Attend RI House and Senate committee hearings which are scheduled in the late afternoon/early evening hours
  • Draft letters of support for federal grant applications
  • Assist with development of annual reports due to the RI General Assembly
  • Plan and staff events


Miscellaneous

  1. Execute additional tasks as required.


Requirements :

  • Associate degree in a relevant field or comparable experience
  • Proficiency in Microsoft Office Suite - especially Microsoft Excel
  • Data entry experience or related office experience
  • Proven capability to juggle various tasks and adhere to strict deadlines
  • Exceptional organizational and communicative abilities.
  • Advanced writing and editorial skills.
  • Ability to maintain customer confidence and confidentiality.
