The goal of the Department of Laboratory Medicine is to provide reliable and timely laboratory services, assist providers in appropriate use of laboratory testing, and to improve pediatric care and laboratory testing through research.

The Sr. Administrative Associate will be responsible for:

  • Leading and directing administrative support services for the department. Planning work schedules to ensure adequate coverage for administrative functions. Recommending and assisting in the development and implementation of departmental administrative policies and procedures.
  • Monitoring and maintaining department recordkeeping systems, including highly sensitive and/or critical administrative and financial data. Overseeing the input of information into databases and spreadsheets, monitoring data validity, compiling, printing, and distributing reports as needed.
  • Monitoring and reconciling budget reports and department expenses, researching and resolving errors or discrepancies. Collecting, organizing, and preparing information, documents, and other materials for the preparation of annual budgets, grant applications.
  • Monitoring review dates, terminations, and other personnel actions, and initiating forms and documents. Initiating, routing, and tracking forms such as purchase orders, payment requisitions, and physician reappointment forms.
  • Coordinating the administration of departmental fellowship and/or residency programs, training grants, and related programs. Collecting, preparing, routing, and tracking required appointment, credentialing, and licensure documents.
  • Planning, preparing, and organizing administrative requirements for seminars, conferences, and other programs or events. Obtaining and organizing planning information, preparing or ordering publicity materials and advertisements, reserving event locations and supplies, equipment, and services.
  • Scheduling appointments and meetings and maintaining the supervisor's calendar. Reserving meeting locations, ordering supplies and services, and preparing agendas. Preparing travel arrangements, including airline reservations and hotel accommodations.
  • Monitoring and maintaining department supply inventory and computer equipment. Serving as a liaison to support service departments to request and coordinate services.
  • Transcribing and typing from recorded dictation or rough draft correspondence, reports, manuscripts, charts, and other materials including highly complex and/or confidential financial/business documents. Proofreading and editing materials for accuracy, consistency, and clarity.

To qualify, you must have:

  1. High school diploma or GED required.
  2. Minimum of two years of administrative work experience required.
  3. Work requires the analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
  4. Work requires the ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
