Position Highlights

The Department of Engineering seeks an Accounting Assistant III to provide operational and financial support to Engineering Business Services - OEBC. This position reports to the Director, Finance and Administration, and will help to support four academic units: Engineering Academic Affairs, Aerospace and Mechanical Engineering, Biomedical Engineering, and Systems and Industrial Engineering.

The selected applicant will perform a broad range of professional accounting activities requiring experience, professional knowledge, and application of accounting principles and practices. Duties include assisting with day-to-day unit finances, the all funds budget process, and fiscal year end transactions.

Duties & Responsibilities
  • Prepare and process requisitions, travel, expense reimbursements, P-card reconciliation, and other financial transactions, documents, and forms. Also, check the financial documents for accuracy, completeness, and compliance with pertinent university and sponsor regulations.
  • Submit requisitions to set up Purchase Orders with order quotations for specific equipment/research supplies and/or blanket purchase orders. Assist department labs with Purchase Order Amendments as needed. Set up all reoccurring blanket Purchase Orders for upcoming fiscal year.
  • Process complex journal entries such as general error corrections, distributions of income and expense, salary expense transfers, etc. to move expenditures to appropriate accounts and object codes as needed.
  • Determine if funds are available for expenditures or requisitions and post to proper account, monitor fund/account balances, and notify appropriate personnel when limits are reached.
  • Monitor and review account transactions, account budgets, employee payroll and distributions, balances and account reconciliations. Provide explanations and recommendations for budget variances.
  • Prepare detailed cost accounting information, including analysis reports to verify transactions are processed accurately and comply with UA policies.
  • Work closely with the University, departments, and accountants to ensure relevant and appropriate activities are performed timely and accurately.
  • Work with faculty, staff, and students to put travel requests into place, and answer questions related to policies.
  • Assist with department inventory and bi-annual university capital inventory reporting process.
  • Prepare special reports and assist with projects requested by the Director, Finance and Administration.
  • Additional duties as assigned.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications

  • Bachelor's degree in Accounting or related field of study.
  • Experience with University systems such as UAccess Financials and Analytics.
  • Grant and contract experience.
