Payroll Coordinator

IMA Financial Group is seeking a Coordinator to join our growing Payroll team! This role is responsible for partnering with Human Resources, Benefits, Compensation, and HRIS teams to ensure all new hires and employee changes are properly coded within the system and data integrity.

Responsibilities include, but are not limited to:



  • Partner with HR Business Partners and Talent Acquisition for processing new hires and promotions via Greenhouse and UKG
  • Serve as an admin user within the Applicant Tracking System (ATS), maintain proper files and tasks, troubleshoot errors as they occur, and work directly with the ATS help desk as needed
  • Responsible for data integrity within HRIS with thorough understanding of various coding, including proper titles, work locations, profit centers, and organization levels
  • Continually monitor the HRIS workflow process for improved efficiencies and enhancements
  • Work with HR, Benefits, Compensation and HRIS teams to ensure all new hires and employee changes are properly coded within the system and utilize automated workflows to correct incorrect data and/or make proper approvals
  • Responsible for administrative payroll functions including checking the mail, scanning, and filing of payroll documents into the electronic filing system.
  • Assist associates with questions or concerns regarding payroll policies and procedures
  • Assist the Payroll Manager with projects tied to M&A activity
  • Under the oversight of Payroll Manager, recommend the creation of new Epic codes for proper financial reporting
  • Approve termination workflows for the organization and notifies payroll administrators of any applicable final pay laws
  • Responsible for completing and filing written and verbal employment verifications
  • Help create and maintain payroll-related communications within IMA Central
  • Responsible for answering questions in regard to the timecard system, including assisting with editing timecards, timecard delegation, timecard audits and training associates and managers as needed
  • Serve as a backup for payroll processing for Payroll Administrators
  • Perform other payroll related duties and projects as assigned
  • Support and demonstrate IMA's core values

Required skills and experiences:



  • High School Diploma required
  • 1 to 2 years of similar or related experience preferred
  • Experience with MS Office products required (specifically Outlook, Word, Excel, and PowerPoint)
  • Strong organizational and time management skills
  • Exceptional attention to detail and high-quality standards
  • Excellent verbal and written communication skills
  • Sound judgment, maturity, and the ability to handle sensitive and confidential information with discretion
